Job summary

The Personal Assistant (PA) provides high-level administrative, operational, and support to the CEO. The role ensures smooth communication, manages the CEO’s schedule, handles personal branding activities, coordinates meetings, manages social media communication, and ensures that all CEO-related tasks are executed promptly and professionally

Job descriptions & requirements

Responsibilities:

Communication Management:

  • Respond to all CEO messages within 5 minutes on WhatsApp, Email, Telegram, Facebook & Instagram DM & comments, TikTok messages & comments, SMS
  • Filter, prioritize, and escalate important messages.
  • Draft professional replies on behalf of the CEO.
  • Maintain confidentiality of all sensitive information.


CEO Schedule & Calendar Management:

  • Manage CEO daily & weekly calendar.
  • Schedule internal/external meetings.
  • Maintain appointment priority list.
  • Confirm appointments 24 hours before the time.
  • Ensure the CEO is always reminded 15–30 minutes before any meeting.
  • Plan travel itineraries when needed.


Personal Branding & Social Media Management:

  • Post daily on the CEO’s WhatsApp status (minimum: 5–15 posts/day).
  • Upload daily content on the CEO’s Instagram, Facebook, and TikTok.
  • Record videos of the CEO for personal branding.
  • Take pictures at events, office activities, and meetings.
  • Work with the media team for editing & graphics.
  • Draft captions, storytelling posts, motivational content, etc.
  • Respond to comments within 10 minutes.
  • Grow the CEO’s online presence.


Content, Documentation & Filing:

  • Maintain clean digital folders (Google Drive, Dropbox or cloud).
  • Save CEO notes, voice notes, documents, and screenshots properly.
  • Write summaries of important information and send daily reports.
  • Maintain “Idea Bank” for CEO ideas and project notes.


Operational Support:

  • Coordinate communication between the CEO & departments.
  • Follow up on tasks assigned by the CEO to department heads.
  • Send reminder messages to staff and ensure accountability.
  • Help the CEO prepare meeting agendas and minutes.


Executive Personal Tasks:

  • Assist the CEO in personal errands when required.
  • Ensure the CEO’s workspace, devices, files, chargers, and accessories are always arranged.
  • Handle booking of restaurants, flights, and hotels when needed.


Requirements:

  • Minimum of an HND in Business Administration, Secretarial Studies, Mass Communication, or any relevant field.
  • Additional certification in Executive Assistance, Office Management, Digital Skills, or Customer Service is an added advantage.
  • 2 years of experience as a Personal Assistant, Executive Assistant, or Administrative Officer.
  • Proven experience managing executive schedules, communication, and social media.
  • Experience working in a fast-paced, high-demand environment, preferably with CEOs, founders, or senior executives.
