Executive Assistant
Job summary
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide strategic and administrative support to the Managing Director. This role requires someone who can take initiative, follow through on assignments with minimal supervision, represent the MD in meetings, and help drive execution across various business units

Responsibilities:
Executive Office Management:
- Manage the MD's schedule, priorities, appointments, and strategic engagements.
- Screen and prioritize correspondence, communications, and requests requiring the MD's attention.
- Prepare reports, presentations, briefing notes, and executive summaries.
- Track action items, deadlines, and deliverables across multiple projects and business units.
- Maintain strict confidentiality regarding sensitive business and organizational matters.
Strategic Coordination & Business Support:
- Act as a liaison between the MD and internal departments, external partners, regulators, and stakeholders.
- Follow up on assigned projects and ensure the timely execution of decisions and directives.
- Coordinate activities across various business units and provide regular progress updates to the MD.
- Conduct research, gather intelligence, and prepare recommendations to support business decisions.
- Support the MD in monitoring operational and strategic performance across the group.
Representation and Stakeholder Engagement:
- Attend meetings on behalf of the MD when required and provide detailed reports and action points.
- Coordinate executive meetings, prepare agendas, and ensure follow-through on agreed actions.
- Represent the MD professionally in engagements with clients, partners, consultants, and government agencies where appropriate.
- Build and maintain productive relationships with key stakeholders.
Recruitment and Human Resource Support
- Coordinate recruitment activities, including candidate interview scheduling and onboarding processes.
- Participate in interviews and candidate assessments when required.
- Support workforce planning and talent acquisition initiatives across the group.
- Assist with the development and implementation of basic HR processes, policies, and reporting structures.
- Monitor staffing needs and provide recruitment updates to management.
Travel, Logistics and Events:
- Manage all travel arrangements, accommodation, transportation, and itineraries for the MD.
- Coordinate logistics for executive meetings, conferences, and corporate events.
- Ensure seamless planning and execution of official engagements
Requirements:
- Bachelor's Degree in Business Administration, Human Resources, Management, Social Sciences, or a related field.
- Relevant professional certifications will be an added advantage.
- Minimum of 5 years' experience supporting a CEO, Managing Director, Founder, or Senior Executive.
- Experience working in a fast-growing organization or multi-business environment.
- Prior exposure to HR, recruitment, talent management, or organizational development is highly desirable.
- Exceptional organizational and project coordination skills.
- Strong business acumen and ability to understand diverse industries.
- Excellent verbal and written communication skills.
- Ability to represent executive leadership professionally and confidently.
- Strong stakeholder management and relationship-building skills.
- Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
- Proficiency in Canva and presentation development.
- Strong analytical, reporting, and problem-solving abilities.
- High level of professionalism, discretion, and integrity.
- Ability to work independently with minimal supervision.
- Excellent time management and multitasking skills.
- Ability to thrive under pressure and manage competing priorities.
