The Administrative Assistant will manage day-to-day office operations and provide basic support to the HR function. The role is primarily administrative, ensuring the office runs smoothly while assisting HR with simple coordination & documentation tasks

Job descriptions & requirements

Responsibilities:

Office Administration (Primary Focus):

  • Ensure the office is well-maintained and fully functional daily
  • Monitor and manage office supplies (water, coffee, stationery, cleaning items, etc.)
  • Track and restock supplies proactively
  • Monitor electricity/internet availability and promptly escalate issues
  • Coordinate with vendors (fuel, cleaning, repairs, etc.) as needed
  • Maintain a clean, organized, and professional office environment
  • Handle printing, photocopying, scanning, and document filing
  • Support meeting setup and logistics


HR Support (Execution Only):

  • Print, organize, and file employee documents
  • Assist with onboarding logistics (document collation, welcome materials, coordination)
  • Track completion of employee forms (biodata, contracts, etc.)
  • Support document routing for signatures
  • Maintain and update basic HR trackers (as instructed)
  • Assist with timesheet collection and basic payroll documentation
  • Help upload and organize files on SharePoint


Recruitment Coordination:

  • Schedule interviews and coordinate with candidates
  • Share interview details (time, venue, virtual links)
  • Update candidate trackers as directed


What This Role Is NOT:

  • Not responsible for creating HR policies or documents from scratch
  • Not responsible for HR decision-making
  • Not responsible for handling employee relations independently


Requirements:

  • 0–2 years of experience in administrative or office support roles
  • Strong organization and attention to detail
  • Ability to follow instructions and execute tasks efficiently
  • Good communication skills
  • Basic proficiency in Microsoft Office (Word, Excel)
  • Must be reliable and available on-site
