Administrative Assistant
Job summary
The Administrative Assistant will manage day-to-day office operations and provide basic support to the HR function. The role is primarily administrative, ensuring the office runs smoothly while assisting HR with simple coordination & documentation tasks

Responsibilities:
Office Administration (Primary Focus):
- Ensure the office is well-maintained and fully functional daily
- Monitor and manage office supplies (water, coffee, stationery, cleaning items, etc.)
- Track and restock supplies proactively
- Monitor electricity/internet availability and promptly escalate issues
- Coordinate with vendors (fuel, cleaning, repairs, etc.) as needed
- Maintain a clean, organized, and professional office environment
- Handle printing, photocopying, scanning, and document filing
- Support meeting setup and logistics
HR Support (Execution Only):
- Print, organize, and file employee documents
- Assist with onboarding logistics (document collation, welcome materials, coordination)
- Track completion of employee forms (biodata, contracts, etc.)
- Support document routing for signatures
- Maintain and update basic HR trackers (as instructed)
- Assist with timesheet collection and basic payroll documentation
- Help upload and organize files on SharePoint
Recruitment Coordination:
- Schedule interviews and coordinate with candidates
- Share interview details (time, venue, virtual links)
- Update candidate trackers as directed
What This Role Is NOT:
- Not responsible for creating HR policies or documents from scratch
- Not responsible for HR decision-making
- Not responsible for handling employee relations independently
Requirements:
- 0–2 years of experience in administrative or office support roles
- Strong organization and attention to detail
- Ability to follow instructions and execute tasks efficiently
- Good communication skills
- Basic proficiency in Microsoft Office (Word, Excel)
- Must be reliable and available on-site
