Job Description/Requirements
Responsibilities:
Daily Financial Control and Reconciliation
- Daily Sales Audit (SOP 3.1): Conduct a comprehensive end-of-day reconciliation of all sales tenders (cash, card, transfers) against the generated POS reports, investigating and resolving all over/short variances promptly.
- Cash Management: Oversee the petty cash fund, ensuring all disbursements are documented and approved. Prepare and verify daily cash deposits.
- DOS/POS Verification: Daily check the integrity of order entry data from the Digital Order System to ensure all sales are correctly transferred to the financial ledger system.
Inventory Management and Cost Control
- Stock Valuation: Perform regular audits of stock levels recorded in the Inventory Management module, reconciling physical counts against system records, particularly for high-value items (liquor, proteins).
- Cost of Goods Sold (COGS): Calculate the daily, weekly, and monthly COGS, investigating discrepancies and identifying areas for waste reduction and portion control improvement.
- Supplier Management: Process and reconcile supplier invoices against purchase orders, ensuring timely and accurate payment entry in the financial ledger system.
Reporting and Compliance
- Financial Reporting (SOP 3.2): Generate and analyze weekly and monthly financial statements, including Profit & Loss (P&L) statements, Balance Sheets, and Cash Flow reports for management review.
- Statutory Compliance: Ensure timely calculation and filing of all relevant taxes and statutory payments (e.g., VAT, WHT).
- Fixed Assets: Maintain the fixed asset register, tracking acquisitions, disposals, and depreciation accurately.
System Integrity and Administration
- Chart of Accounts: Maintain and update the official Chart of Accounts within the financial ledger system.
- System Access: Manage user permissions and access levels for the financial and inventory platforms, enforcing the principle of Segregation of Duties (SOD) to minimize financial risk.
Requirements:
- Bachelor’s degree in Accounting, Finance, or a related field. Professional certification (ICAN, ACCA, CPA, etc.) is highly desirable.
- Minimum of 3-5 years of experience in accounting, preferably within the hospitality, retail, or quick-service restaurant (QSR) sector.
- Proven, hands-on experience with integrated financial/POS software (e.g., Biodux PMS, or similar system). Advanced proficiency in Microsoft Excel.
- High attention to detail, exceptional numerical accuracy, and demonstrated ability to enforce financial policies and controls.
