Virtual Assistant
Job summary
We are looking for a highly organised Virtual Assistant to manage daily administrative operations. Your primary focus will be maintaining data hygiene in our CRM (HubSpot) and managing an active professional inbox.
Job descriptions & requirements
Responsibilities:
HubSpot Management
- Update contact records, deal stages, and task statuses daily.
- Perform data entry and clean up incomplete or duplicate records.
- Log meeting notes and ensure all client activity is properly tracked.
Inbox Management
- Triage incoming emails: delete spam, tag important messages, and archive processed items.
- Draft responses to standard inquiries and schedule meetings with prospective clients.
- Flag urgent items that require immediate attention from leadership.
Calendar & Scheduling
- Coordinate availability and book meetings to prevent double-booking.
- Send appointment confirmations and reminders to external stakeholders.
Requirements:
- HubSpot Experience: You must be comfortable navigating HubSpot (updating properties, logging calls, managing tasks). You do not need to be a developer, but you must be a proficient user.
- Communication: Excellent written English with professional grammar and tone.
- Organization: Strong attention to detail; you are the type of person who cannot stand a messy database or a cluttered inbox.
- Reliability: Consistent availability and quick response times during working hours.
