Responsibilities:
Strategic Operational Planning &
Execution:
- Translate company-wide
strategic goals into actionable administrative and operational plans.
- Analyze internal
processes, recommend improvements for scalability, and lead implementation of
new systems.
- Prepare and monitor
the annual administrative budget, ensuring resources align with strategic
priorities.
Administrative Leadership & Office
Management:
- Oversee all daily
administrative operations, fostering a productive, organized, and positive work
environment.
- Supervise, mentor, and
develop administrative staff, setting clear performance standards.
- Develop, implement,
and enforce office policies, procedures, and compliance standards.
Resource & Vendor Management:
- Manage office budgets,
supplies, equipment, and facilities, ensuring cost-effectiveness.
- Oversee vendor
relationships (e.g., IT, logistics, cleaning services) and negotiate contracts.
- Act as the primary
liaison with building management and external service providers.
Executive Support & Coordination:
- Provide high-level
support to senior management, including preparing reports, presentations, and
strategic correspondence.
- Coordinate key
internal and external meetings, manage executive calendars, and ensure
efficient communication flow.
- Organize company
events, team meetings, and logistical arrangements for visitors.
Process Optimization & Compliance:
- Continuously identify
and implement improvements to administrative workflows to enhance efficiency.
- Ensure robust
record-keeping, documentation, and data management systems are in place and
secure.
- Guarantee office
operations comply with all relevant health, safety, and regulatory
requirements.
Requirements:
- Bachelor’s degree in
Business Administration, Management, or a related field.
- Minimum of 3 years of
experience in office management, administration, or operations, with at least 1
year in a supervisory role.
- Proven ability to
develop processes, manage budgets, and improve operational efficiency.
- Excellent
organizational, project management, and problem-solving skills.
- Strong leadership and
interpersonal skills, with the ability to train and motivate a team.
- High proficiency in Microsoft Office Suite and G-Suite; experience with project management tools is a plus.
