Job descriptions & requirements

Responsibilities:

Strategic Operational Planning & Execution:

  • Translate company-wide strategic goals into actionable administrative and operational plans.
  • Analyze internal processes, recommend improvements for scalability, and lead implementation of new systems.
  • Prepare and monitor the annual administrative budget, ensuring resources align with strategic priorities.

Administrative Leadership & Office Management:

  • Oversee all daily administrative operations, fostering a productive, organized, and positive work environment.
  • Supervise, mentor, and develop administrative staff, setting clear performance standards.
  • Develop, implement, and enforce office policies, procedures, and compliance standards.

Resource & Vendor Management:

  • Manage office budgets, supplies, equipment, and facilities, ensuring cost-effectiveness.
  • Oversee vendor relationships (e.g., IT, logistics, cleaning services) and negotiate contracts.
  • Act as the primary liaison with building management and external service providers.

Executive Support & Coordination:

  • Provide high-level support to senior management, including preparing reports, presentations, and strategic correspondence.
  • Coordinate key internal and external meetings, manage executive calendars, and ensure efficient communication flow.
  • Organize company events, team meetings, and logistical arrangements for visitors.

Process Optimization & Compliance:

  • Continuously identify and implement improvements to administrative workflows to enhance efficiency.
  • Ensure robust record-keeping, documentation, and data management systems are in place and secure.
  • Guarantee office operations comply with all relevant health, safety, and regulatory requirements.


Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 3 years of experience in office management, administration, or operations, with at least 1 year in a supervisory role.
  • Proven ability to develop processes, manage budgets, and improve operational efficiency.
  • Excellent organizational, project management, and problem-solving skills.
  • Strong leadership and interpersonal skills, with the ability to train and motivate a team.
  • High proficiency in Microsoft Office Suite and G-Suite; experience with project management tools is a plus.
