Accountant:

Consumable Store Management:

• Manage the day-to-day operations of the consumable store.
• Receive, record, store, and issue consumable materials.
• Maintain accurate records of all stock receipts, transfers and issues.
• Ensure that no item leaves the store without proper documentation and approval.
• Conduct regular physical stock counts and reconcile physical quantities with system records.
• Investigate and report stock variances, shortages, damages and unexplained movements.
• Maintain appropriate minimum and maximum stock levels and flag replenishment requirements.
• Ensure proper storage, identification and categorisation of all consumables.

Cost Allocation & Product Costing:

• The successful candidate must be able to determine where the cost of every consumable issued should be charged.
• Repair materials, cleaning materials, protective materials and other consumables used in maintaining rental inventory must be properly documented and assigned to the correct cost category.

 Accounting & Ledger Classification:

• Properly classify consumable purchases and issues into the appropriate accounting ledgers.
• Distinguish between direct costs, indirect costs, maintenance costs, operational expenses, and other relevant cost categories.
• Ensure expenses are posted to the correct account, department, product, asset or job where applicable.
• Review store-related expenses and identify incorrect or incomplete accounting treatments.
• Work closely with Finance and Operations to ensure that costs are captured at the point of use.
• Support monthly closing by ensuring all relevant store movements and costs have been recorded.
• Assist in analysing maintenance and operating costs by product/category.

ERP Inventory & Accounting

The successful candidate must be comfortable working with an ERP environment.

Responsibilities will include:

• Recording and monitoring inventory movements in the ERP
• Processing stock receipts and issues.
• Ensuring proper documentation of material consumption.
• Reconciling physical store balances with ERP records.
• Ensuring consumable usage is correctly linked to the relevant product, maintenance activity, job, or expense category.
• Supporting the Finance team in ensuring that inventory and expense postings are correctly reflected in the accounting system.
• Identifying gaps between physical operations and accounting records.
• Maintaining clean and reliable data for management reporting.

Reconciliation & Controls:

• Perform daily/weekly/monthly reconciliation of store movements.
• Reconcile purchases against goods received and items issued.
• Track opening stock + purchases – issues = closing stock.
• Investigate unusual consumption patterns and unexplained variances.
• Ensure all store issues are supported by approved requisitions or documentation.
• Prevent unauthorised issuance and wastage of consumables.
• Maintain an audit trail for all significant store transactions.

Cost & Management Reporting

The candidate will support management with reports including:

• Monthly consumable consumption report.
• Store stock valuation and reconciliation.
• Product maintenance cost reports.
• Cost of consumables by rental product/category.
• Variance reports.
• High-consumption item reports.
• Wastage and loss reports.
• Maintenance material cost analysis.
• Cost trends by product or operational activity.

Requirements:

• B.Sc./HND in Accounting, Finance, Accounting Technology or a related field.
• Minimum 3–5 years' relevant experience in accounting, inventory control, stores accounting, cost accounting or a similar role.
• Demonstrable experience managing a physical store or inventory environment.
• Strong understanding of accounting principles and ledger classification.
• Experience with inventory reconciliation and stock control.
• Experience in cost allocation, product costing or management accounting is highly desirable.
• Odoo ERP experience is strongly preferred.
• Experience working with rental, events, hospitality, manufacturing, construction, logistics or asset-heavy businesses will be an advantage.
• Strong Excel/spreadsheet skills.
• Professional accounting qualification or ongoing qualification such as ICAN, ACCA or ANAN will be an advantage.
