Job summary
We are seeking a highly organised and professional female Secretary to join our team at Valjes Properties Ltd., a premium real estate company. The ideal candidate will be central to keeping day-to-day operations organised and running smoothly. She will combine administrative support, communication management, and client coordination.
Job descriptions & requirements
Responsibilities:
- Manage daily operations, including scheduling of meetings, executive calendars, correspondences, filings and property inspections/viewings. Assist in coordinating company events.
- Handle incoming calls, e-mails, and client enquiries, and direct them appropriately, providing accurate information on property listings and services.
- Maintain and organise confidential files, documents and records of clients, properties and transactions.
- Prepare reports, presentations and official documentation.
- Prepare and process real estate documents, such as lease agreements, offer letters, contracts of sale, tenancy forms, etc.
- Coordinate property viewings, ensure effective communication between clients, agents, our sales executives, and do the necessary follow-up.
- Assist in listing properties on online platforms and uploading property details regularly.
- Provide administrative support to real estate agents, technical staff and managers, to improve efficiency.
- Monitor office supplies and perform basic bookkeeping tasks, including recording payments, issuing receipts, and tracking expenses.
- Coordinate travel arrangements and accommodation for executives.
- Ensure the office environment is well maintained, and clients and visitors are attended to professionally and promptly.
- Build and maintain strong relationships with clients, buyers and prospects.
- Follow up with enquiries, leads and existing clients to drive engagement and conversion.
- Handle client complaints or concerns professionally and ensure timely resolutions.
Requirements:
- The ideal candidate must be a female and reside on Lagos Island or close to the Island.
- B.Sc. or HND Business Administration, Office Management, Secretarial Studies, or a related discipline.
- A minimum of 4 years of work experience as a secretary or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general office technology.
- Strong communication skills, both written and verbal.
- Excellent organisational and multitasking abilities.
- Professional demeanour, discretion, and attention to detail.
