Job summary

We are seeking a proactive, organised, and results-driven Rental Officer to oversee the day-to-day rental activities of the company. The successful candidate will be responsible for sourcing rental properties, building and maintaining the company's rental property database, managing rental enquiries, coordinating property inspections and viewings,

Responsibilities:

Property Sourcing & Portfolio Development:

  • Scout for suitable residential and commercial rental properties within the company's target locations.
  • Identify and develop relationships with landlords, property owners, agents, and other property stakeholders.
  • Source quality properties that meet the company's rental standards and client demand.
  • Obtain accurate information on available properties, including location, rental price, facilities, terms, availability, and other relevant details.
  • Conduct property inspections and verify property information before onboarding properties.
  • Take and organise property photographs, videos, and other relevant listing materials.
  • Add new properties to the company's database and ensure all property information is complete and accurate.
  • Regularly update the rental database and remove properties that are no longer available.


Rental Enquiries & Client Management:

  • Receive and respond promptly to rental enquiries from prospective clients.
  • Understand clients' rental requirements, preferred locations, budgets, and property preferences.
  • Match clients with suitable properties within the company's rental portfolio.
  • Arrange and coordinate property inspections and viewings.
  • Accompany clients on inspections and provide relevant information about properties.
  • Follow up with prospective tenants after inspections and viewings.
  • Maintain consistent communication with prospective and existing rental clients.
  • Build and maintain strong relationships with clients, landlords, and property owners.
  • Maintain accurate records of enquiries, client requirements, inspections, follow-ups, and rental outcomes.


Rental Operations:

  • Coordinate and oversee the company's day-to-day rental activities.
  • Maintain an up-to-date inventory of available rental properties.
  • Manage rental listings across the company's approved platforms and channels.
  • Track rental leads from initial enquiry through inspection, negotiation, and closure.
  • Coordinate communication between prospective tenants, landlords, agents, and relevant internal team members.
  • Assist with rental negotiations and documentation where required.
  • Ensure rental requests and client enquiries are attended to promptly.
  • Identify bottlenecks in the rental process and recommend ways to improve efficiency.
  • Provide regular updates and reports on rental activities, enquiries, inspections, available properties, and completed transactions.


Requirements

  • Minimum of an OND or equivalent qualification.
  • Minimum of 2 years of relevant experience in real estate, property management, lettings, leasing, sales, or a related field.
  • Good knowledge of the local rental property market.
  • Strong communication and interpersonal skills.
  • Excellent client relationship and follow-up skills.
  • Strong organisational and administrative abilities.
  • Good negotiation and persuasion skills.
  • Comfortable using Microsoft Office, Google Workspace, spreadsheets, databases, CRM systems, and other digital tools.
  • Ability to manage multiple properties, clients, and enquiries simultaneously.
  • Ability to conduct property inspections and travel to different locations as required.
  • Proactive, self-motivated, and target-oriented.
  • Strong attention to detail and record-keeping skills.
  • Ability to work independently and take ownership of assigned responsibilities.
  • A valid driver's licence is an added advantage.
