Responsibilities:
Project & Operational Management:
- Manage projects from planning through completion across artist development, music releases, marketing campaigns, creative productions, partnerships, and other company initiatives.
- Develop and maintain comprehensive project plans, timelines, trackers, calendars, and documentation.
- Establish milestones, responsibilities, dependencies, and critical-path requirements across projects.
- Monitor project performance and provide timely visibility into progress, risks, and areas requiring intervention.
- Coordinate competing priorities across multiple concurrent workstreams.
- Maintain a centralized master tracker providing visibility across the company's principal initiatives.
Music & Artist Operations:
- Coordinate operational requirements across artist projects and music release cycles.
- Work closely with Artist Development & A&R, Marketing, Creative, Production, Distribution, Finance, Legal, and external partners to ensure alignment across deliverables.
- Coordinate timelines surrounding releases, recording activity, content production, photography, video, promotional initiatives, and artist-related projects.
- Ensure relevant project dependencies, approvals, assets, and partner requirements are appropriately coordinated and documented.
Marketing & Campaign Operations:
- Partner with the Marketing function to coordinate the execution of campaigns and promotional initiatives.
- Translate approved campaign priorities into structured timelines, deliverables, responsibilities, and milestones.
- Coordinate dependencies across content, creator/influencer initiatives, digital marketing, PR, promotional activity, and other campaign workstreams.
- Maintain visibility into campaign progress and facilitate resolution of operational constraints.
Team & Communication:
- Serve as a central coordination point across internal teams, artists, management, vendors, service providers, and external partners.
- Facilitate project meetings, execution reviews, and operational check-ins where appropriate.
- Maintain clear action items, ownership, and accountability across project teams.
- Establish effective communication rhythms appropriate to the scope and complexity of each initiative.
- Ensure relevant teams and partners have timely visibility into material changes, risks, dependencies, and decisions.
Vendors, Production & Resources:
- Coordinate external vendors, service providers, production partners, and consultants across assigned initiatives.
- Support project budgeting, resource planning, procurement, and logistical coordination.
- Monitor vendor deliverables and project requirements against established timelines and expectations.
- Identify resource or production constraints and coordinate appropriate resolutions.
Reporting & Operational Visibility:
- Provide structured project updates, execution summaries, and operational reporting to leadership.
- Maintain dashboards and reporting mechanisms that provide visibility into project status, priorities, risks, and upcoming milestones.
- Consolidate information across functions to support informed decision-making.
- Ensure material issues are surfaced with sufficient context, implications, and recommended courses of action.
Process & Systems Development:
- Develop, document, and continuously refine workflows, templates, SOPs, and project management systems.
- Establish repeatable processes that improve execution across recurring initiatives.
- Identify structural inefficiencies and recommend improvements.
- Promote consistent standards for project documentation, communication, and reporting.
Requirements:
- A minimum of 3 years of experience in project management, operations, music, entertainment, creative production, marketing, media, events, agency, or a related field.
- Demonstrated experience managing multiple projects or workstreams simultaneously.
- Experience coordinating cross-functional teams and external partners.
- Experience managing timelines, deliverables, vendors, budgets, or production logistics.
- Strong proficiency with project management platforms such as ClickUp, Asana, Monday.com, Notion, Trello, or similar tools.
- Strong proficiency with Google Workspace and/or Microsoft Office.
- Professional experience within the music industry or entertainment ecosystem is strongly preferred.
- Familiarity with artist development, music releases, distribution, marketing, creative production, or label operations is highly desirable.
- Strong written and verbal communication skills.
- Bachelor's degree preferred; equivalent professional experience will be considered.
