Job summary

The Procurement Officer is responsible for planning, sourcing, negotiating, purchasing, and managing goods and services required by the organization in a cost-effective, timely, and compliant manner. The role ensures optimal supplier performance, adherence to procurement policies, value for money, risk mitigation, and continuous improvement of procurement processes.

Job descriptions & requirements

Responsibilities:
Procurement Planning & Strategy:
  • Develop and implement procurement plans aligned with organizational goals and budgets
  • Forecast material, service, and equipment requirements in collaboration with user departments.
  • Participate in annual budgeting and procurement scheduling.
  • Identify cost-saving opportunities and efficiency improvements.
  • Support long-term sourcing strategies and category management.

Sourcing & Supplier Selection:
  • Identify, evaluate, and prequalify suppliers and vendors. Prepare and issue
  • Requests for Quotation (RFQs), Requests for Proposal (RFPs), and Invitations to Tender (ITTs).
  • Analyse bids and proposals using technical, commercial, and financial criteria.
  • Conduct supplier due diligence and risk assessments.
  • Maintain an approved supplier database.

Negotiation & Contract Management:
  • Negotiate pricing, delivery schedules, payment terms, warranties, and service level agreements.
  • Draft, review, and manage procurement contracts in collaboration with legal teams.
  • Ensure contracts comply with organizational policies and applicable laws.
  • Monitor contract performance and enforce terms and conditions.
  • Manage contract renewals, amendments, and terminations.


Purchasing & Order Management:

  • Prepare and process purchase requisitions and purchase orders.
  • Ensure accuracy of specifications, quantities, and pricing.
  • Track orders from placement to delivery.
  • Expedite delayed shipments and resolve supply issues.
  • Coordinate with logistics, warehouse, and finance teams.

Cost Control & Value Optimization:
  • Ensure procurement activities deliver the best value for money.
  • Monitor market trends, price fluctuations, and supplier performance.
  • Analyse procurement spends and prepare cost analysis reports
  • Implement cost reduction initiatives without compromising quality.
  • Prevent maverick spending and unauthorized purchases.


Supplier Relationship Management:

  • Build and maintain strong relationships with suppliers.
  • Conductsupplier performance evaluations and audits. Address supplier disputes, non-conformances, and service failures.
  • Promote ethical sourcing and supplier development.
  • Support supplier diversity and sustainability initiatives.

Compliance, Ethics & Risk Management:
  • Ensure procurement processes comply with internal policies, laws, and regulations.
  • Uphold ethical procurement standards and anti-corruption practices.
  • Maintain accurate procurement documentation and audit trails.
  • Identify and mitigate procurement-related risks.
  • Support internal and external audits.

Quality Assurance & Inspection:
  • Ensure goods and services meet required quality standards.
  • Coordinate inspections, testing, and acceptance of delivered items.
  • Manage non-conforming goods, returns, and replacements.
  • Work with quality assurance teams to resolve defects.

Inventory & Logistics Coordination:
  • Collaborate with inventory and warehouse teams to optimize stock levels.
  • Avoid overstocking, shortages, and obsolete inventory.
  • Support logistics planning and delivery scheduling
  • Monitor lead times and improve supply chain responsiveness.

Reporting & Documentation:
  • Prepare procurement reports (spend analysis, supplier performance, savings achieved).
  • Maintain procurement records, contracts, and transaction files.
  • Update procurement systems and databases.
  • Provide management with accurate and timely procurement information.


Systems & Process Improvement:

  • Utilize e-procurement systems and ERP platforms.
  • Streamline procurement workflows and approval processes.
  • Recommend automation and digital procurement solutions. 
  • Train staff on procurement procedures and systems.

Collaboration & Stakeholder Engagement:
  • Liaise with internal departments to understand procurement needs.
  • Provide procurement guidance and advisory support.
  • Resolve internal procurement issues professionally.
  • Support cross-functional projects and initiatives.

Sustainability & Corporate Engagement:
  • Promote environmentally responsible procurement practices.
  • Support sustainable sourcing and ethical supply chains.
  • Reduce environmental impact through responsible purchasing decisions.


Requirements:

  • Minimum BSc
  • 2-4 years of previous work experience in a similar role
