Job Description/Requirements
Responsibilities:
- Manage the executive’s complex calendar, including scheduling meetings, appointments, travel, and personal commitments.
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Draft, proofread, and manage correspondence, presentations, and reports with a high level of accuracy and professionalism.
- Coordinate and prepare for meetings, including agenda creation, briefing materials, note-taking, and follow-up action tracking.
- Conduct market, industry, and competitor research to support decision-making and strategic initiatives.
- Assist with project coordination, document preparation, and tracking key deliverables.
- Identify business opportunities, potential partners, and events relevant to the executive’s goals.
- Prepare executive summaries and briefing notes for meetings, conferences, and trips.
- Manage personal errands, travel logistics, family-related appointments, and lifestyle requirements.
- Liaise with service providers, vendors, and household staff as needed.
- Ensure the smooth running of both professional and personal engagements.
- Maintain effective communication and follow-up between the executive and stakeholders.
- Represent the principal with discretion and diplomacy in all interactions.
- Build and maintain strong relationships with clients, partners, and senior-level contacts.
- Handle all confidential and sensitive information with the highest degree of professionalism.
- Anticipate potential issues and proactively manage them to ensure the executive’s focus remains on priorities.
Requirements:
- Bachelor’s degree in Business Administration, Communications, Management, or a related field.
- Minimum of 5–7 years of experience supporting C-suite executives, high-net-worth individuals, or business owners.
- Proven experience managing both business and personal tasks in a fast-paced, dynamic environment.
- Exceptional organisational and time-management skills.
- Strong research and analytical ability.
- Excellent verbal and written communication skills.
- Tech-savvy: proficient in MS Office Suite, Google Workspace, and digital productivity tools (e.g., Notion, Asana, Trello).
- High emotional intelligence and interpersonal sensitivity.
- Discretion, loyalty, and a strong sense of confidentiality.
- Professional presence, initiative, and a “no task too small” mindset.
