Job summary

We are seeking to hire a highly organized and dependable Hybrid Personal Assistant to provide comprehensive administrative and operational support to the founder. This role involves a combination of remote work and on-site responsibilities, ensuring efficient coordination of schedules, communications, and business-related activities for one who thrives in a fast-moving, impact-driven environment. This role supports the founder by handling execution, coordination, and day-to-day organization both remotely and on the ground so strategic growth remains the priority.

Job descriptions & requirements

Responsibilities:

  • Manage schedules, communications, follow ups, and occasional in person tasks
  • Help keep operations running smoothly as the company scales.
  • Support daily operations by managing correspondence, coordinating meetings, tracking deliverables, and representing the organization professionally when required.
  • Manage email, calendar scheduling and reminders Organise meetings Zoom calls and follow-ups
  • Prepare documents presentations and reports
  • Manage digital files and cloud folders
  • Assist with project coordination and task tracking
  • Communicate with contractors, partners, and vendors
  • Handle basic research and information gathering
  • Track deadlines and ensure tasks are completed on time
  • Attend meetings site visits or events on behalf of the founder.
  • Drop off or collect documents packages


Requirements:

  • Must be organized and resourceful
  • Must be comfortable taking ownership of execution without needing constant direction.
  • Must have a high level of discretion
  • Attention to detail
  • Ability to work independently in a fast-paced professional environment.
  • Previous experience as a Personal Assistant
  • Executive Assistant or Operations Assistant
  • Strong time management and prioritisation skills
  • Excellent organisational and multitasking abilities
  • Confident using tools such as Google Workspace, Zoom, WhatsApp, and Trello/Notion (or similar)
  • Ability to travel locally when required Reliable internet access and smartphone
