Executive Assistant
Job summary
We’re looking for a highly organised, proactive remote executive assistant to support the medical director of an international concierge healthcare company. You’ll manage calendars, travel, research, outreach and day-to-day administrative tasks while helping keep multiple projects moving.

Responsibilities:
- Manage and maintain calendars
- Schedule meetings across multiple time zones
- Book restaurants, hotels, flights and travel itineraries
- Coordinate appointments and reservations
- Send professional emails on behalf of the Medical Director
- Follow up with contacts after networking events
- Research conferences, organisations and potential business opportunities
- Maintain CRM and contact databases
- Organise documents, spreadsheets and project trackers
- Prepare meeting agendas and reminders
- Liaise with external suppliers and service providers
- Assist with LinkedIn outreach and relationship management
- Handle miscellaneous administrative and personal tasks as required
- Proactively identify ways to improve the organisation's efficiency
Requirements:
- Has excellent written and spoken English
- Exceptionally organised
- Has outstanding attention to detail
- Is proactive and takes initiative
- Can work independently with minimal supervision
- Is comfortable learning new software
- Has strong internet connectivity and a reliable computer
- Can maintain strict confidentiality
- Is professional and personable
- Can prioritise multiple tasks simultaneously
Preferred Qualifications:
- Previous experience supporting executives or founders
- Experience with Google Workspace
- Microsoft Office proficiency
- Familiarity with LinkedIn
- Experience using CRMs
- Experience coordinating travel
