Job descriptions & requirements

Responsibilities:

Calendar & Schedule Management:

  • Manage complex, constantly changing calendars and appointments.
  • Schedule meetings, calls, and events; prioritize conflicting demands.
  • Send reminders and ensure the principal is prepared with relevant materials.


Communication & Liaison:

  • Screen and manage phone calls, emails, and correspondence.
  • Act as the first point of contact for clients, staff, family, and vendors.
  • Draft letters, emails, and reports on behalf of the principal.
  • Take minutes in meetings and follow up on action items.


Travel & Logistics:

  • Plan and book domestic/international travel, accommodation, and itineraries.
  • Arrange visas, transport, and ensure all logistics run smoothly.
  • Prepare detailed travel packs with schedules, contacts, and documents.


Administrative & Project Support:

  • Prepare presentations, spreadsheets, and briefing documents.
  • Conduct research and compile information for decision-making.
  • Process expenses, invoices, and manage budgets as required.


Personal Support:

  • Run personal errands, manage household admin, and coordinate repairs/services.
  • Organize private events, dinners, and gift purchases.
  • Handle personal appointments: medical, financial, legal, etc.


Requirements:

  • High school diploma minimum; Bachelor’s degree or PA diploma preferred.
  • 2+ years of experience as a PA, EA, or in high-level admin support.
  • Expert proficiency in MS Office/Google Workspace and digital tools.
  • Outstanding organizational and time-management skills.
  • Excellent written/verbal communication and interpersonal skills.
  • Proactive, resourceful, and able to anticipate needs.
  • Unquestionable discretion and ability to handle confidential matters.
  • Flexibility to work outside standard hours and travel when required.
