Job summary
The Personal Assistant (PA) in a real estate company provides direct administrative and operational support to the Managing Director, CEO, or senior executive. The role involves managing schedules, coordinating meetings, handling correspondence, organizing documents and supporting client communication
Job descriptions & requirements
- Manage the executive's calendar, appointments, meetings, and schedules.
- Coordinate meetings, property inspections, site visits, and business appointments.
- Handle emails, phone calls, messages, and correspondence professionally.
- Prepare reports, presentations, meeting notes, and business documents.
- Maintain and organize confidential company and client records.
- Follow up with clients, property owners, agents, vendors, and other stakeholders.
- Assist with property-related administrative activities and documentation.
- Coordinate travel arrangements, accommodation, and itineraries when required.
- Monitor pending tasks, deadlines, and appointments to ensure timely completion.
- Support the executive during meetings, negotiations, property viewings, and business engagements.
- Research properties, market trends, competitors, and potential business opportunities.
- Assist with preparing property listings, proposals, and client presentations.
- Maintain effective communication between the executive and internal or external stakeholders.
- Perform other administrative and operational duties assigned by the executive.
Requirements:
- A minimum of an HND or Bachelor's degree in Business Administration, Estate Management, Secretarial Studies, or a related field.
- Previous experience as a Personal Assistant, Executive Assistant, Administrative Officer, or similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office tools, especially Word, Excel, and PowerPoint.
- Good knowledge of email, calendar management, and digital communication tools.
- Strong client service and interpersonal skills.
- Ability to handle confidential information with discretion.
- Good attention to detail and follow-up skills.
- Ability to multitask, work under pressure, and meet deadlines.
- Knowledge or experience in the real estate industry is an added advantage.
