Job summary
The Operations Executive is responsible for coordinating and overseeing the day-to-day operational activities of the interior design company. The role ensures projects are delivered on time, within budget, and to the required quality standards by managing resources, vendors, procurement, logistics, and project execution.

Responsibilities:
- Coordinate all interior design projects from commencement to completion.
- Develop and monitor project schedules, timelines, and deliverables.
- Liaise with designers, architects, contractors, artisans, and suppliers to ensure seamless project execution.
- Monitor project budgets and ensure expenses remain within approved limits.
- Source, negotiate, and manage relationships with vendors, suppliers, and subcontractors.
- Coordinate procurement of furniture, fixtures, fittings, finishes, and construction materials.
- Ensure timely delivery of materials to project sites.
- Conduct regular site inspections to monitor work progress and quality.
- Ensure compliance with design specifications and company quality standards.
- Resolve operational challenges that may affect project timelines.
- Prepare project status reports for management and clients.
- Monitor inventory levels and maintain accurate stock records.
- Coordinate logistics for material movement and installations.
- Ensure health, safety, and workplace compliance at project sites.
- Supervise installation teams and external contractors.
- Track project milestones and ensure deadlines are achieved.
- Manage project documentation, contracts, quotations, purchase orders, and invoices.
- Assist in preparing project budgets and cost estimates.
- Ensure effective communication between clients and internal teams.
- Handle client concerns relating to project execution and operational matters.
- Implement operational processes that improve efficiency and reduce costs.
- Monitor staff productivity and allocate resources effectively.
- Support recruitment and onboarding of project-based artisans and contractors when required.
- Ensure all completed projects undergo final quality inspections before client handover.
- Perform any additional operational duties assigned by management.
Requirements:
- Bachelor's degree in Business Administration, Operations Management, Architecture, Interior Design, Project Management, Engineering, or a related field.
- Minimum of second class upper (2.1)
- Minimum of 3–5 years of operations or project coordination experience, preferably in interior design, construction, architecture, or real estate.
- Strong understanding of project management principles.
- Experience in procurement and vendor management.
- Knowledge of interior finishing materials, furniture, fixtures, and installations is an advantage.
- Excellent negotiation and organizational skills.
- Strong analytical and problem-solving abilities.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Experience using project management tools is an added advantage.
- Ability to manage multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Strong leadership and team coordination abilities.
- A valid driver's license is an added advantage.
