Operations Coordinator
Job summary
The operations coordinator will be responsible for the smooth day-to-day running of office and operational activities. This includes receiving and documenting shipments, following up on inbound cargo, coordinating with government agencies and clearing agents, liaising with vendors and ensuring proactive management of operational issues. The role requires an individual who is decisive, computer-literate and capable of working with minimal supervision.
Job descriptions & requirements
- Receive, inspect and document all incoming shipments (containers, bulk cargo, and smaller consignments).
- Maintain accurate records of shipping documents, Bills of Lading, packing lists, commercial invoices, Certificates of Analysis, and related paperwork.
- Track and follow up on upcoming and in-transit shipments from origin to final delivery.
- Monitor vessel schedules, estimated times of arrival (ETA), and any delays, escalating issues promptly.
- Prepare, organize, and maintain complete shipment documentation files (physical and electronic).
- Ensure all import/export documents meet regulatory requirements.
- Liaise with relevant government agencies (Customs, ISPON, SON, NAFDAC where applicable, and other regulatory bodies) for clearances, permits and compliance matters.
- Ensure company documents are updated
- Liaise regularly with local and international vendors/suppliers.
- Negotiate commercial terms, delivery schedules and resolve operational issues when required.
- Manage day-to-day office operations and ensure smooth workflow.
- Handle correspondence, filing, data entry and basic administrative tasks using computer systems.
- Take decisions on routine operational matters and escalate only when necessary.
- Coordinate with internal team members and external stakeholders to resolve issues proactively rather than reactively
- Support inventory monitoring and stock reconciliation where required.
- Prepare status updates and reports for management.
- Assist with any other operational or administrative tasks as assigned.
- Uphold company standards of professionalism, confidentiality and integrity at all times.
- Bachelor’s degree (minimum) in any relevant field (business administration or related disciplines preferred).
- Must be resident in Port Harcourt or willing to relocate immediately.
- Proven ability to use a computer confidently (Microsoft Office Suite – Word, Excel, Outlook; email; and basic internet research).
- Strong organizational and documentation skills.
- Ability to take initiative and make sound decisions without constant supervision.
- Good communication and negotiation skills.
- Ability to work under pressure and meet tight deadlines.
- Willingness to resume early and maintain consistent full-time attendance.
- Previous experience in logistics, shipping or oil & gas operations will be an added advantage.

Remuneration: NGN 250,000 Monthly
