The Litigation Officer is a key legal support professional responsible for administrative case management, court filings, document service, and maintaining accurate legal records. This role serves as a vital operational link between the legal team, external law firms, court registries, bailiffs, and regulatory authorities to ensure all court deadlines and procedural requirements are met promptly.
Key Responsibilities
Court Filings & Process service
- File all legal processes, pleadings, affidavits, notices, and motions with relevant courts and tribunals accurately and within statutory timelines.
- Facilitate the service of court processes on opposing parties through court bailiffs and track proof of service.
- Conduct daily or weekly visits to court registries to conduct search on cases, follow up on court orders, and obtain certified true copies (CTCs) of judgments and rulings.
Case Management and File Maintainance
- Maintain and continuously update the physical and electronic case files, ensuring documents are properly cataloged and indexed.
- Update and manage the master Litigation Register / Cause List, tracking upcoming court hearing dates, judge assignments, and filing deadlines.
- Ensure immediate escalation of critical court notices, summonses, and hearing dates to assigning counsel or head of legal.
Liason and Public Relations
- Act as the administrative liaison between the organization/firm and court officials, registrars, bailiffs, process servers, and opposing counsel's administrative staff.
- Interface with regulatory bodies, law enforcement agencies, and government registries as directed by the legal team.
Legal and Admin Support
- Draft routine legal correspondence, cover letters, formal notices, and basic court processes under supervision.
- Conduct basic statutory and factual research as requested by legal counsel.
- Assist legal counsel with logistical arrangements for court appearances, witness interviews, and arbitration sessions.
Required Qualifications
- Education: Higher National Diploma (HND) or Bachelor’s degree in Law (LL.B), Arts, Social Sciences, or related discipline.
- Experience: 1–3 years of experience in legal administration, court registry operations, paralegal duties, or law firm support.
- Knowledge: Sound understanding of local court procedures, filing protocols, court registry operations, and document service rules.
Required Skill and Competence
- Court Procedural Familiarity: Practical working knowledge of court registries, bailiff procedures, and filing protocols across various court levels.
- Organization & Detail Orientation: Meticulous approach to record-keeping, tracking dates, and verifying document accuracy prior to submission.
- Communication Skills: Clear verbal and written communication for liaising professionally with court staff, external solicitors, and internal teams.
- Time Management: Strong multi-tasking abilities to handle tight deadlines, emergency filings, and heavy workloads under minimal supervision.
- Tech Literacy: Proficiency in Microsoft Office / Google Workspace and legal/case management software.
