Responsibilities:
Communication Management:
- Screen phone calls, enquiries, and requests, and handle them when appropriate. Manage email inboxes, ensuring that all communications are replied to timely and appropriately.
- Assist in managing personal tasks and commitments, ensuring an optimal work-life balance.
- Document and Presentation Preparation: Create, edit, and proofread documents and presentations to support project proposals, business plans, and client meetings. Ensure all documents are kept in an organized manner for easy access.
- Project and Task Management: Utilize project management tools to create and monitor project timelines, deliverables, and milestones. Ensure tasks are delegated appropriately and deadlines are met.
- Research and Data Analysis: Conduct detailed market research, competitor analysis, and gather information to support decision-making. Analyze data to produce clear and actionable reports. Conduct research and prepare reports on various topics related to our business operations and industry trends.
- Financial Management: Assist with bookkeeping tasks, invoice preparation, and tracking of expenses. Use financial management software to maintain accurate records
- Social Media and Website Management: Update and maintain the company’s social media profiles and website content. Monitor analytics and create reports on engagement and performance.
- Client Relationship Management: Act as the point of contact for clients, providing them with high-level support and ensuring their needs are met. Manage and update client databases with contact details and interaction history.
- Event and Meeting Coordination: Organize and coordinate meetings, including setting agendas, taking minutes, and following up on action items. Plan and execute corporate events, webinars, and workshops.
- Personal Tasks: Handle personal tasks such as managing calendars, making travel arrangements, and personal shopping, when necessary.
- Continuous Improvement: Regularly evaluate business processes and tools for efficiency and effectiveness. Suggest and implement improvements to streamline operations.
- Manage and schedule appointments, meetings, and travel arrangements.
- Provide administrative support including email management, document preparation, and follow-up on actions.
- Utilize project management software to track progress on projects and ensure timely completion.
- Collaborate closely with team members, facilitating communication and coordinating tasks.

Requirements:
- Proven experience as a Virtual Assistant, Personal Assistant, or in a similar role
- Proficient in English with excellent verbal and written communication skills
- Strong organizational and time-management abilities
- Familiarity with project management tools (e.g., Notion, Trello, Miro) and a willingness to learn new software as needed.
- Ability to work independently with minimal supervision and handle multiple tasks simultaneously.
- A proactive approach to problem-solving and a strong desire to contribute to the success of the team.
- Educational background in a relevant field is preferred but not mandatory.
