Position Summary
We are looking for an experienced Item Setup & Catalog Specialist to own the complete lifecycle of product master data and retailer item onboarding.
This role is responsible for creating accurate product records in Microsoft Dynamics 365 Business Central, coordinating cross-functional teams to gather product assets, managing retailer portal uploads, maintaining retailer requirements documentation, and ensuring product data remains accurate throughout its lifecycle.
The ideal candidate is highly organized, detail-oriented, process-driven, and capable of managing multiple product launches while maintaining exceptional data accuracy.
Key Responsibilities
Product Master Data Management
- Create and maintain new product records in Microsoft Dynamics 365 Business Central.
- Ensure every item contains complete and accurate information before retailer submission, including:
- Vendor cost
- Cost of goods
- Metal type and fineness
- Product weight
- Dimensions
- UPC/GTIN
- Product hierarchy
- Maintain the ERP as the company's single source of truth.
Retailer Requirements Management
- Build and maintain a centralized retailer requirements matrix documenting:
- Image specifications
- Product description requirements
- Required attributes
- Pricing fields
- Compliance requirements
- Keep documentation current as retailer standards evolve.
Product Launch Coordination
- Coordinate with Sales, Merchandising, Warehouse, and Photography teams to collect all required launch assets.
- Identify missing information and proactively follow up until every requirement is completed.
- Track all outstanding launch requests through completion.
Retailer Portal Management
- Upload products into retailer and marketplace portals.
- Verify listings after publication.
- Resolve listing errors within 48 hours of discovery.
Product Data Governance
- Manage updates to:
- Product costs
- Pricing
- Metal cost adjustments
- Product discontinuations
- Maintain proper change logs and ensure Business Central remains accurate.
Competitive & Retailer Research
- Perform scheduled retailer and competitor assortment scrapes using company templates.
- Deliver structured pricing and assortment reports to Sales and Merchandising teams.
Documentation & SOP Development
- Create and maintain SOPs for:
- Item creation
- Retailer upload processes
- Product data management
- Retailer scraping procedures
- Continuously improve documentation for scalability and operational consistency.
Escalation Process
Tier 1
- Resolve missing information and routine retailer portal issues independently.
Tier 2
- Escalate ERP or Business Central technical issues to ERP support.
Tier 3
- Escalate any issue impacting committed retailer launch dates directly to the President.
Key Performance Indicators (KPIs)
- Less than 1% post-launch item setup error rate.
- 100% completion of Business Central item records before retailer uploads.
- Retailer requirements matrix reviewed and updated monthly.
- Product launches completed within retailer SLA once assets are received.
- 100% on-time delivery of scheduled retailer and competitor scrapes.
- Listing errors corrected within 48 hours.
Required Qualifications
- Minimum 2 years of experience in:
- Item setup
- Catalog management
- Product data operations
- Retail or e-commerce environments
- Experience onboarding products through retailer or marketplace portals such as:
- Walmart
- Sam's Club
- Amazon
- DSCO
- Similar enterprise retail platforms
- Experience working with ERP systems and item master data.
- Microsoft Dynamics 365 Business Central experience is highly preferred.
- Strong Microsoft Excel skills with experience handling structured datasets.
- Excellent written English communication skills.
- Strong organizational and follow-up abilities.
- Available to work with meaningful overlap during US Pacific business hours.
Preferred Qualifications
- Experience within jewelry, precious metals, or luxury products.
- Knowledge of:
- Gold karats
- Metal fineness
- Stone specifications
- Experience creating SOPs and operational documentation.
- Understanding of retailer image specifications, including resolution, aspect ratio, and background standards.
