A Front Desk Representative serves as the first point of contact for clients, visitors, and guests, ensuring a professional and welcoming experience. The role involves managing front office operations, handling inquiries, coordinating appointments, maintaining records, and providing administrative support to ensure smooth daily business operations.

Responsibilities:
Reception & Customer Service:
- Welcome and assist visitors, clients, and guests in a courteous and professional manner.
- Respond to inquiries and provide accurate information about the company's services and policies.
- Ensure a positive customer experience by addressing concerns promptly and escalating issues when necessary.
Telephone & Communication Management:
- Answer, screen, and direct incoming calls to the appropriate departments or personnel.
- Take and relay messages accurately and promptly.
- Respond to emails, messages, and other communication channels as required.
Appointment & Scheduling Coordination:
- Schedule, confirm, and manage appointments and meetings.
- Maintain appointment calendars and notify relevant personnel of any changes.
- Coordinate meeting room bookings and visitor arrangements.
Administrative Support:
- Maintain and update customer records, visitor logs, and office documents.
- Assist with filing, data entry, and document preparation.
- Handle incoming and outgoing correspondence, mail, and deliveries.
Office Operations:
- Monitor front desk supplies and request replenishment when necessary.
- Ensure the reception area is clean, organized, and presentable at all times.
- Support other departments with administrative tasks as assigned.
Record Keeping & Reporting:
- Maintain accurate records of visitors, calls, and appointments.
- Prepare routine reports and provide updates to management when required.
- Ensure confidentiality and proper handling of sensitive information.
Compliance & Professional Standards:
- Adhere to company policies, procedures, and customer service standards.
- Maintain a professional appearance and demeanor.
- Ensure compliance with health, safety, and security procedures.
Requirements:
- Minimum of OND, HND, or Bachelor's Degree in Business Administration, Mass Communication, or a related field.
- Proven experience in a receptionist, front desk, customer service, or administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional appearance and customer-focused attitude.
- Ability to work under pressure and manage multiple priorities effectively.
