Job summary

A Front Desk Representative serves as the first point of contact for clients, visitors, and guests, ensuring a professional and welcoming experience. The role involves managing front office operations, handling inquiries, coordinating appointments, maintaining records, and providing administrative support to ensure smooth daily business operations.

Job descriptions & requirements

Responsibilities:

Reception & Customer Service:

  • Welcome and assist visitors, clients, and guests in a courteous and professional manner.
  • Respond to inquiries and provide accurate information about the company's services and policies.
  • Ensure a positive customer experience by addressing concerns promptly and escalating issues when necessary.


Telephone & Communication Management:

  • Answer, screen, and direct incoming calls to the appropriate departments or personnel.
  • Take and relay messages accurately and promptly.
  • Respond to emails, messages, and other communication channels as required.


Appointment & Scheduling Coordination:

  • Schedule, confirm, and manage appointments and meetings.
  • Maintain appointment calendars and notify relevant personnel of any changes.
  • Coordinate meeting room bookings and visitor arrangements.


Administrative Support:

  • Maintain and update customer records, visitor logs, and office documents.
  • Assist with filing, data entry, and document preparation.
  • Handle incoming and outgoing correspondence, mail, and deliveries.


Office Operations:

  • Monitor front desk supplies and request replenishment when necessary.
  • Ensure the reception area is clean, organized, and presentable at all times.
  • Support other departments with administrative tasks as assigned.


Record Keeping & Reporting:

  • Maintain accurate records of visitors, calls, and appointments.
  • Prepare routine reports and provide updates to management when required.
  • Ensure confidentiality and proper handling of sensitive information.


Compliance & Professional Standards:

  • Adhere to company policies, procedures, and customer service standards.
  • Maintain a professional appearance and demeanor.
  • Ensure compliance with health, safety, and security procedures.


Requirements:

  • Minimum of OND, HND, or Bachelor's Degree in Business Administration, Mass Communication, or a related field.
  • Proven experience in a receptionist, front desk, customer service, or administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and customer-focused attitude.
  • Ability to work under pressure and manage multiple priorities effectively.
