Job Description/Requirements
We are seeking a smart, organised, and customer-focused Front Desk Officer to manage our front office operations. The ideal candidate will serve as the first point of contact for customers, ensure smooth communication between clients and technicians, handle service documentation, support billing activities, and promote excellent customer experience.
Responsibilities
- Welcome and attend to customers professionally.
- Receive vehicle complaints and open job cards/work orders.
- Record customer and vehicle details accurately.
- Communicate service costs and estimated completion time.
- Update customers on job progress and inform them when ready.
- Coordinate communication between customers and technicians.
- Prepare service invoices and issue receipts.
- Receive and record customer payments (cash/POS/transfers).
- Balance daily sales and submit financial reports.
- Manage phone calls, WhatsApp, and appointment bookings.
- Track spare parts issued for vehicle jobs.
- Ensure proper control of vehicle keys and movement.
- Handle minor customer complaints and collect feedback.
- Maintain organised service records and customer database.
Qualifications
- Minimum of HND, or BSc in Business Administration, Accounting, or related field.
- 1–2 years’ experience in a front desk, administrative, or customer service role (auto service experience is an advantage).
- Good communication and interpersonal skills.
- Basic knowledge of billing, POS transactions, and record keeping.
- Computer literacy (Microsoft Word & Excel).
- Ability to multitask and work under pressure.
- Honest, disciplined, and customer-oriented.
