Responsibilities:

Fleet Operations & Administration:

  • Take full ownership of the company's fleet and transportation operations.  Maintain an accurate and up-to-date master register of all vehicles.
  • Monitor vehicle allocation, utilization, availability, and downtime.  Ensure vehicles are available for operational requirements and properly scheduled.
  • Establish systems for vehicle movement, trip authorization, and vehicle handover.  Maintain complete and accurate records for every vehicle.
  • Provide management with regular fleet reports and recommendations. 


Vehicle Maintenance & Repairs:

  • Develop and implement a preventive maintenance programme for every vehicle.
  • Ensure vehicles are serviced according to manufacturer recommendations and internal schedules. 
  • Monitor mileage, service intervals, and maintenance due dates.
  • Establish proper vehicle inspection procedures. 
  • Ensure all reported defects are documented, investigated, and resolved.
  • Manage vehicle breakdowns and emergency repairs. 
  • Maintain complete maintenance and repair histories for every vehicle.
  • Monitor recurring mechanical problems and identify root causes. 
  • Recommend repair, replacement, or retirement of vehicles when necessary.


Mechanic & Vendor Management:

  • Build and maintain a panel of approved mechanics, workshops, and automotive vendors. 
  • Introduce proper repair job-card and approval procedures.
  • Ensure every major repair is supported by a documented diagnosis and quotation.  Obtain alternative quotations or second opinions where necessary.
  • Monitor the quality, cost, and turnaround time of repairs. 
  • Track warranties on parts and repairs.
  • Challenge recurring repairs and unexplained costs. 
  • Ensure replaced parts are accounted for where applicable.
  • Evaluate mechanic/vendor performance regularly. 
  • Prevent unauthorized repairs and expenditure.


Driver Management:

  • Supervise and manage all company drivers. 
  • Ensure drivers comply with company policies, safety standards and operating procedures.
  • Monitor driver attendance, punctuality, conduct and performance. 
  • Conduct regular driver briefings and training.
  • Ensure every driver has the required documentation and a valid licence. 
  • Conduct driver assessments where required.
  • Enforce responsible vehicle usage and proper vehicle care. 
  • Investigate driver-related incidents, complaints, and violations.
  • Implement driver performance KPIs and disciplinary procedures in collaboration with HR. 


Vehicle Inspection & Safety:

  • Implement mandatory pre-trip and post-trip vehicle inspections.
  • Conduct regular weekly and monthly fleet inspections. 
  • Ensure defects are reported immediately.
  • Prevent unsafe vehicles from being dispatched. 
  • Ensure vehicles are equipped with required safety and emergency equipment.
  • Maintain inspection records and follow up on outstanding defects. 
  • Coordinate accident and incident investigations.


Fuel Management:

  • Implement proper fuel control and monitoring procedures. 
  • Track fuel consumption by vehicle and driver.
  • Monitor fuel efficiency and identify unusual consumption. 
  • Investigate fuel discrepancies or abnormal usage.
  • Maintain accurate fuel records. 
  • Develop controls to minimise fuel wastage and unauthorized usage.


Fleet Documentation & Compliance:

  • Ensure that all vehicles have valid and up-to-date:
  • Vehicle registration/licensing 
  • Insurance
  • Roadworthiness documentation 
  • Other applicable permits and statutory documentation
  • Service and maintenance records 
  • Also ensure all drivers maintain valid and appropriate driving licences and required documentation. 


GPS & Fleet Technology:

  • Monitor and manage vehicle tracking systems.
  • Review vehicle movement, speed, route deviations, excessive idling and unauthorized usage. 
  • Use fleet data to improve vehicle utilization, safety, and cost control.
  • Recommend technology and systems that can improve fleet efficiency. 


Accident & Incident Management:

  • Establish and enforce a formal accident/incident reporting procedure.
  • Ensure immediate reporting of accidents and vehicle incidents. 
  • Coordinate documentation, photographs, investigations, and insurance processes.
  • Conduct root-cause analysis for significant incidents. 
  • Recommend corrective and preventive actions.
  • Maintain an accurate accident/incident history for each driver and vehicle. 


Reporting & Performance Management: 

  • Prepare and submit regular reports covering: 
  • Fleet availability
  • Vehicle downtime 
  • Vehicle utilization
  • Fuel consumption 
  • Fuel cost
  • Maintenance expenditure 
  • Cost per vehicle
  • Cost per kilometre where applicable 
  • Preventive maintenance compliance
  • Breakdown frequency 
  • Driver performance
  • Accidents and incidents 
  • Documentation compliance
  • Upcoming maintenance requirements 
  • Major repair requirements
  • Vendor performance 


Requirements:

  • Bachelor's degree or HND in Transport Management, Logistics, Engineering, Business Administration, Operations Management or a related field.
  • Minimum 5 years' relevant experience in fleet, transport, logistics or vehicle operations management. 
  • Proven experience managing multiple vehicles and drivers.
  • Strong knowledge of vehicle maintenance and repair processes. 
  • Experience managing mechanics, workshops, and automotive vendors.
  • Strong administrative and documentation skills. 
  • Excellent knowledge of fleet safety and compliance requirements.
  • Strong Excel/Google Sheets and reporting skills. 
  • Ability to analyse fleet data and identify trends.
  • Excellent communication and people-management skills. 
  • Valid driver's licence and strong practical understanding of vehicle operations.


Advantageous:

  • Experience in an event, logistics, construction, hospitality or other asset-intensive environment. 
  • Experience with fleet management software or ERP systems such as Odoo.
  • Experience with GPS/vehicle tracking systems. 
  • Mechanical/automotive knowledge or technical training.
  • Experience developing fleet SOPs and operational controls.

What You Will Be Expected To Achieve:

Within your first 90 days, you should be able to:

  • Establish a complete fleet master register. 
  • Audit the condition and documentation of every vehicle.
  • Establish individual maintenance histories for all vehicles. 
  • Review and organise all driver records.
  • Implement daily vehicle inspection procedures. 
  • Implement preventive maintenance schedules.
  • Establish a structured mechanic/vendor management system. 
  • Introduce repair job cards and approval controls.
  • Establish fuel monitoring procedures. 
  • Introduce driver performance KPIs.
  • Establish fleet reporting and management dashboards. 
  • Identify major risks, recurring vehicle problems, and unnecessary fleet costs.
  • Present management with a clear Fleet Improvement Plan.


Remuneration: NGN 150,000- 300,000 monthly
