Facility Manager

Responsibilities:

• Develop and implement facility management and preventive maintenance plans for the office, equipment, utilities and other physical assets, ensuring routine inspections, servicing and repairs are completed as scheduled.
• Coordinate the day-to-day maintenance and functionality of facilities, including power, electrical systems, plumbing, air-conditioning, water supply, office equipment and other essential services, ensuring faults are promptly resolved.
• Manage facility vendors and service providers, including sourcing, coordinating and monitoring contractors for maintenance, cleaning, security and other facility services, while ensuring agreed service standards are met.
• Maintain an accurate asset and equipment register, monitor the condition and movement of organisational assets, coordinate repairs and replacements, and ensure appropriate accountability for assigned assets.
• Coordinate health, safety, security and emergency preparedness, including workplace inspections, fire-safety requirements, access control, incident reporting and implementation of corrective actions to maintain a safe working environment.
• Monitor facility-related costs, purchases and resource consumption, including utilities, maintenance and repairs, ensuring expenditure is properly documented, approved and managed within agreed budgets.
• Develop and maintain facility management procedures, schedules, checklists and records, including maintenance logs, inspection reports, vendor records, incident reports and other required documentation.
• Prepare periodic facility management reports and action trackers covering maintenance activities, outstanding repairs, asset condition, safety issues, vendor performance, facility expenditure and identified risks, and escalate critical matters to the CEO.

Requirements:

• Bachelor's degree/HND in Facility Management, Estate Management, Building Technology, Engineering, Business Administration or a related discipline.
• Professional certification in Facility Management, Health & Safety, Project Management or a related field is an advantage.
• Minimum of 3 years' relevant experience in facility management, administration, property management, maintenance coordination or a related role.
• Experience maintaining facility and asset-management records.
• Experience working in an SME, construction, architecture, interior design, property or project-based organisation would be advantageous.
• Good understanding of preventive and corrective maintenance practices.
• Basic knowledge of building systems, utilities and equipment.
• Vendor and contractor management.
• Asset and inventory management.
• Workplace health, safety and emergency procedures.
• Basic budgeting, cost monitoring and procurement processes.
• Ability to maintain maintenance schedules, checklists and facility records.
• Competence in Microsoft Office/Google Workspace and relevant facility-management tools.
• Strong reporting and documentation skills.
