Job summary

The Executive PA provides high-level administrative, strategic, and operational support to the CEO. The role ensures the smooth functioning of the Executive Office by managing schedules, coordinating internal/external communication, preparing reports, supporting decision-making, and maintaining confidentiality at all levels.

Job descriptions & requirements

Responsibilities:

  • Manage the CEO’s calendar, appointments, travel logistics, and daily schedule.
  • Prepare briefing documents, executive summaries, presentations, and meeting packs.
  • Screen, review, and prioritize emails, correspondence, and requests for the CEO’s attention.
  • Attend meetings with the CEO when required, take minutes, follow up on action items, and ensure deadlines are met.
  • Coordinate strategic initiatives across departments and track progress reports for the CEO.
  • Handle confidential documents and information with discretion.
  • Support the CEO in stakeholder engagements, including partners, contractors, regulatory authorities, and clients.
  • Draft and review letters, official memos, internal communications, and reports.
  • Oversee special projects as assigned by the CEO (e.g., audits, procurement, events, and site visits).
  • Maintain an effective filing and documentation system (digital and physical).
  • Provide general administrative and office management support to the Executive Office.


Requirements:

  • Bachelor’s degree in Business Administration, Social Sciences, or related fields.
  • Minimum of 5 years’ experience supporting C-suite executives.
  • Experience in aviation, engineering, or project-driven environments is an added advantage.
  • Exceptional organizational and time-management skills.
  • Excellent written and verbal communication.
  • Strong interpersonal skills and emotional intelligence.
  • High level of confidentiality, integrity, and professionalism.
  • Ability to multitask and work under pressure with minimal supervision.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint), scheduling tools, and digital communication platforms.
  • Analytical, proactive, and solution-oriented mindset.
