Job descriptions & requirements

Responsibilities:

Executive Support & Diary Management:

  • Own the Founder’s calendar entirely, prioritising ruthlessly and protecting time for strategic work
  • Schedule and coordinate internal meetings, client calls, interviews and external engagements across multiple time zones
  • Prepare the Founder for every meeting with relevant context, documents, background and agenda
  • Manage travel arrangements including flights, accommodation, visas and detailed itineraries
  • Ensure the Founder is never unprepared, never double-booked and never chasing information

Communication & Correspondence:

  • Manage and triage the Founder’s inbox, flagging what requires attention and handling what does not
  • Draft correspondence on the Founder’s behalf, including client emails, team communications and external enquiries
  • Serve as a first point of contact for the Founder, handling enquiries with discretion and professionalism
  • Ensure all internal and external communications reflect Tilt’s standards of clarity and polish

Operational Coordination:

  • Track action items and deliverables across all client accounts and hold team members accountable to deadlines
  • Coordinate between creative leads, account managers, and design teams to ensure work moves forward
  • Maintain project documentation, meeting notes and follow-up trackers
  • Chase outstanding items so the Founder does not have to

Financial & Administrative Support:

  • Liaise with the Accountant on documentation, invoicing inputs and financial record-keeping
  • Collect and forward vendor invoices, receipts and expense documentation
  • Maintain organised digital filing systems across Google Drive
  • Support with contract administration, onboarding paperwork and record maintenance

Meeting Support & Documentation:

  • Attend meetings alongside the Founder, capturing notes, decisions and action points
  • Circulate clear summaries and follow-ups within agreed timeframes
  • Track progress against action items and escalate blockers proactively

Special Projects & Research:

  • Conduct research to support business development, new client pitches and strategic decisions
  • Support the delivery of internal projects including recruitment, process improvement and agency initiatives
  • Prepare briefing documents, presentations and reports as required

Discretion & Confidentiality:

  • Handle sensitive commercial, financial and personnel information with absolute discretion
  • Maintain confidentiality regarding client work, internal strategy and business operations at all times

Requirements:

  • A strong university degree from a reputable institution. Disciplines such as Business, Economics, Law, Communications, International Relations, English or the Humanities are particularly welcome
  • Evidence of academic rigour and intellectual capability is essential
  • 3 years in an Executive Assistant, Chief of Staff, Business Manager or senior administrative role
  • Experience supporting a founder, C-suite executive or senior leader
  • Track record of managing complex diaries, competing priorities and multiple stakeholders
  • Experience in a fast-paced environment where standards are high, and the pace is demanding

Skills & Competencies:

  • Your written English must be flawless. You will draft on the Founder’s behalf, and your writing will represent our clients, partners, and press.
  • You track everything. Nothing falls through the cracks. You have systems, and you use them consistently.
  • You do not wait to be asked. You anticipate what is needed, prepare it in advance, and present it before it becomes urgent.
  • You know what warrants the Founder’s attention and what does not. You make sensible decisions independently and escalate appropriately.
  • You read situations and people well. You manage relationships with warmth and professionalism, internally and externally.
  • When things move quickly or go wrong, you remain calm, clear, and solutions-focused.
  • Confident with Google Workspace, project management tools such as Asana or Notion, video conferencing platforms, and general digital systems. Comfortable learning new tools quickly.

Preferred Qualifications:

  • Experience within a creative agency, media, fashion, entertainment or communications environment
  • Postgraduate qualification
  • Exposure to financial administration, bookkeeping or accounts support
  • Experience coordinating across international time zones
  • Interest in and awareness of creative industries, culture and digital media
  • Additional language proficiency

What Success Looks Like:

First 30 Days:

  • You understand how Tilt operates, who does what and what matters most
  • The Founder’s calendar is fully under your control and running smoothly
  • You have built working relationships across the team
  • You are handling inbox triage and correspondence with minimal direction

First 90 Days:

  • You are anticipating needs rather than responding to instructions
  • Action items across the business are tracked and progressing without the Founder chasing
  • You have identified and improved at least two operational inefficiencies
  • The Founder’s time is measurably better protected and more strategically spent

First 6 Months:

  • You are indispensable to the running of the business
  • You operate with significant autonomy and sound independent judgement
  • You are trusted with sensitive matters and represent the Founder confidently

  • All work submitted complete, polished and error-free
  • Proactive escalation of issues before deadlines pass
  • Hybrid working arrangement, with on-site presence in Lagos as required by business needs

  • Direct exposure to the running of a growing creative agency at founder level
  • Genuine professional development and progression opportunities
  • Hybrid working flexibility
  • A collaborative, high-performing team environment
  • The opportunity to shape the operational backbone of a business in an exciting growth phase
