Job Summary
The Executive Assistant will provide comprehensive support to the Chief Executive Officer, enabling her to focus on strategic decision-making and organizational priorities. He/She will provide high-level administrative support, facilitating the smooth operation of the CEO’s office. This role requires a skilled professional with experience in executive support who can work independently and efficiently. The ideal candidate will possess advanced organizational skills, a strong understanding of productivity tools, and a proactive approach to managing executive-level tasks.

Job Description/Requirements
- Facilitate the scheduling and coordination of meetings, appointments, and travel arrangements for the CEO.
- Prepare, organize meeting agendas, materials, and notes, and effectively manage the CEO’s calendar.
- Manage and organize digital files, documents, and correspondence.
- Maintain a high level of discretion and professionalism in all interactions, both internal and external.
- Coordinate with other departments to ensure smooth operations of the CEO’s office.
Relationship Management:
- Develop and sustain robust working relationships with both internal and external stakeholders.
- Coordinate and manage executive-level meetings, events, and conferences with precision and efficiency.
- Represent the CEO’s office with professionalism, ensuring positive and constructive interactions.
Communication and Correspondence:
- Oversee and manage incoming communications, including emails, and other correspondence, ensuring appropriate screening and prioritization.
- Facilitate seamless communication and collaboration by coordinating with internal teams and external stakeholders.
- Act as the primary point of contact for inquiries and requests, delivering timely and professional responses.
- Maintain and update contact lists and databases, ensuring both accuracy and confidentiality.
Project Management / Research Support:
- Support the CEO’s team in the planning and execution of special projects.
- Track project progress and provide regular updates to the CEO.
- Assist in the preparation of reports, presentations, and other project-related documents.
- Conduct research on various topics as assigned by the CEO and prepare reports based on research findings.
- Compile and analyze data to support decision-making processes.
Learning and Continuous Development:
- Keep abreast of best practices and industry trends related to high-level corporate operations.
- Seek feedback and guidance from Line Manager and team members to enhance skills and knowledge
Requirements:
- Exceptional written and verbal communication skills with the ability to articulate ideas clearly and persuasively.
- Highly organized, detail-oriented, and adept at managing multiple tasks and deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
- Demonstrated ability to work independently and as part of a team.
- Passion for social impact and interest in the non-profit sector.
- Strong interpersonal skills and ability to build and maintain relationships with various stakeholders.
- Proactive, self-motivated, and eager to take initiative.
