Job Summary

The executive assistant provides high-level administrative support to senior executives by handling a wide range of executive support tasks with professionalism, discretion, and confidentiality. This role requires excellent organizational skills, attention to detail, and the ability to interact with staff at all levels in a fast-paced environment.

Job Description/Requirements

Responsibilities:

  • Manage and maintain executives’ schedules, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle confidential information with a high degree of integrity and discretion.
  • Organize meetings, including scheduling, sending reminders, preparing agendas, and coordinating logistics.
  • Take minutes during meetings and follow up on action items.
  • Coordinate and manage special projects, research assignments, or reports as requested.
  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Screen and direct incoming calls, emails, and other communications.
  • Monitor, prioritize, and respond to incoming communications on behalf of the executive.
  • Assist with personal tasks and errands, as necessary, while maintaining professional boundaries.
  • Maintain and update contact databases and filing systems (physical and digital).
  • Support event planning and execution as required.


Requirements: 

  • A minimum of an HND
  • Proven experience as an executive assistant, personal assistant, or similar role.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant tools.
  • Strong organizational, time management, and multitasking abilities.
  • Excellent verbal and written communication skills.
  • High level of discretion and confidentiality.
  • Ability to work independently and as part of a team.
  • Proactive, resourceful, and adaptable to changing priorities.
