Executive Assistant
Job summary
We are hiring a high-capacity Executive Assistant to support a fast-growing premium brand in the luxury travel and executive experience space. This is not a traditional admin-only role. This role is for a commercially aware, digitally fluent professional who can manage bookings, coordinate executive priorities, follow up leads, and protect revenue.

Responsibilities:
Executive & Calendar Management:
- Manage the CEO's calendar and scheduling.
- Coordinate all bookings via Calendly and other booking platforms.
- Confirm meetings and reduce no-shows.
- Prioritize and manage the executive inbox.
- Prepare meeting briefs and materials.
- Take structured meeting minutes and circulate follow-ups.
Booking & Lead Coordination:
- Track inbound enquiries across LinkedIn and other platforms.
- Ensure timely response to warm leads.
- Coordinate appointment scheduling for sales calls.
- Monitor CRM updates and pipeline accuracy.
- Prepare weekly booking and follow-up reports.
- Flag stalled opportunities or delayed responses.
Presentation & Communication Support:
- Design clean, executive-level presentation slides using Canva.
- Prepare documents and briefing notes.
- Communicate professionally with high-value clients.
- Follow up on partnership conversations and opportunities.
Digital & Systems Execution:
- Use CRM tools to maintain organized lead tracking.
- Utilize AI tools to improve productivity and execution speed.
- Maintain structured documentation and reporting systems.
- Ensure process discipline across bookings and follow-ups.
Requirements:
- Minimum 3 years of experience as an Executive Assistant, Sales Coordinator, or similar executive support role.
- Experience managing bookings, scheduling tools, or CRM systems.
- Strong digital literacy (Google Workspace, Canva, CRM tools).
- Coordinate meetings using Calendly and other booking tools.
- Comfortable using AI productivity tools.
- Proven ability to work independently with minimal supervision.
- Strong written and verbal communication skills.
- High level of discretion and professionalism.
- Experience supporting founders or senior executives.
- Exposure to sales coordination or lead management.
- Experience working with premium or high-end clientele.
