Job summary

The Executive Assistant provides high-level administrative and strategic support to the Chairman. The role requires discretion, strong coordination skills, and the ability to manage multiple priorities in a fast-paced advertising environment.

Job descriptions & requirements

Responsibilities: 

  • Manage the Chairman’s calendar, meetings, travel plans, and appointments.
  • Act as the primary point of contact between the Chairman and internal teams, clients, media partners, and external stakeholders.
  • Prepare correspondence, reports, presentations, and briefing documents.
  • Follow up on action points from meetings and ensure timely execution.
  • Coordinate board meetings, executive sessions, and confidential discussions.
  • Screen calls, emails, and requests, and prioritize matters requiring the Chairman’s attention.
  • Support project tracking across departments and ensure alignment with the Chairman’s directives.
  • Maintain confidential records and handle sensitive information with discretion.
  • Assist with contract documentation, approvals, and compliance processes.
  • Support special assignments and strategic initiatives as directed.
  • Ensuring a smooth and adequate flow of information within the company to facilitate other business operations
  • Keeping abreast with all organizational changes and business developments
  • Any other duties as assigned by the Chairman 

 

Requirements:

  • Minimum of a University Degree
  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Minimum of 1 to 3 years’ experience as an Executive Assistant or similar role.
  • Recent female graduate with a passion is encouraged to apply 
  • Strong communication and people skills
  • Strong organizational and time management skills.
  • High level of professionalism and confidentiality.
  • Strong interpersonal and stakeholder management skills.
  • Proficiency in Microsoft Office and digital productivity tools.
  • Proficient in Writing and Documentation
  • Research and Development are essential
  • Good organizational and multi-tasking abilities
  • Problem-solving skills
