Executive Assistant
Job summary
The Executive Assistant will provide high-level executive and operational support to the MD/CEO, helping to manage priorities, coordinate people and projects, drive follow-through, and ensure that key initiatives move from discussion to execution. You will work closely with the MD/CEO and interact with leaders and teams across the business.

Responsibilities:
Executive Office Management:
- Manage the MD/CEO's calendar, meetings, appointments, travel arrangements, and daily priorities.
- Prepare meeting agendas, briefing notes, presentations, reports, and correspondence.
- Attend key meetings, document decisions and action points, and ensure timely follow-up.
- Manage confidential information and executive correspondence with absolute discretion.
- Anticipate the MD/CEO's needs and proactively provide the information, preparation, and support required.
Project & Business Coordination:
- Support the MD/CEO in driving strategic and operational projects across the business.
- Track key deliverables, deadlines, owners, and outstanding actions.
- Follow up with department heads and project owners to ensure agreed actions are completed.
- Support initiatives including restaurant operations, menu rollouts, marketing campaigns, events, partnerships, process improvements, and new business projects.
- Prepare project updates and highlight delays, risks, dependencies, and areas requiring executive attention.
Cross-Functional Coordination:
- Serve as a central coordination point between the Executive Office and key departments.
- Ensure information and decisions are communicated clearly and followed through.
- Coordinate across teams to keep priorities aligned and execution on track.
- Support the MD/CEO in maintaining visibility across critical business activities.
Research & Executive Support:
- Conduct research and prepare concise briefs to support executive decision-making.
- Analyse information and present key findings clearly.
- Support the preparation of executive presentations, proposals, reports, and business documents.
- Take on special assignments and executive projects requiring discretion, ownership, and strong judgement.
Requirements:
- A Bachelor's degree in Business Administration, Management, Communications, or a related discipline.
- 3–5 years' experience in Executive Assistance, Executive Office Management, Personal Assistance, Project Coordination, or a similar role.
- Exceptional organisational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and a high standard of written work.
- Strong project tracking and follow-through abilities.
- Excellent proficiency in Microsoft Office and/or Google Workspace.
- The ability to manage multiple priorities without losing sight of critical details.
- Strong interpersonal skills and the confidence to engage with senior leaders and different levels of the organisation.
- Sound judgement and the ability to handle sensitive and confidential matters appropriately.
- A proactive mindset—you identify what needs to be done and take ownership of getting it done.
