Job descriptions & requirements

Responsibilities:

Executive Support:

  • Manage the Managing Director's calendar, appointments, and daily schedule.
  • Coordinate meetings, appointments, and travel arrangements.
  • Screen and prioritize phone calls, emails, and correspondence.
  • Prepare meeting agendas, presentations, reports, and briefing documents.
  • Take accurate minutes during meetings and follow up on action items.
  • Manage incoming and outgoing executive communications.


Administrative Responsibilities:

  • Draft professional emails, letters, reports, proposals, and presentations.
  • Maintain confidential records, files, and executive documents.
  • Coordinate internal and external meetings, including logistics and meeting materials.
  • Monitor deadlines and remind the Managing Director of upcoming commitments.
  • Handle travel bookings, accommodation, and itinerary planning.
  • Organize and maintain an efficient filing and document management system.


Communication & Coordination:

  • Act as the primary liaison between the Managing Director and internal/external stakeholders.
  • Coordinate with department heads to ensure timely execution of executive directives.
  • Follow up on assigned tasks and provide progress updates.
  • Assist in organizing company events, board meetings, webinars, and executive engagements.


Project & Operational Support:

  • Assist with strategic projects and special assignments.
  • Conduct research and compile information to support executive decision-making.
  • Track project milestones and prepare progress reports.
  • Support business development initiatives as assigned.


Confidentiality & Compliance:

  • Handle highly confidential information with discretion and professionalism.
  • Ensure sensitive company information is protected at all times.
  • Adhere to company policies, procedures, and ethical standards.
  • Represent the Executive Office professionally in all interactions.


Requirements:

  • Bachelor's degree in Business Administration, Management, Human Resources, Accounting, or a related field.
  • Minimum of 2 years of relevant experience as an Executive Assistant, Personal Assistant, or Administrative Officer.
  • Professional certifications in Administration, Project Management, or related fields are an added advantage.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • High level of professionalism, integrity, and confidentiality.
  • Ability to multitask and prioritize effectively.
  • Strong attention to detail and accuracy.
  • Excellent interpersonal and relationship management skills.
  • Ability to work independently and under pressure.
  • Strong analytical and problem-solving skills.
  • Proactive mindset with the ability to anticipate executive needs.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience using Google Workspace (Docs, Sheets, Calendar, Drive, Meet).
  • Ability to prepare reports, presentations, and executive documents.
  • Familiarity with virtual meeting platforms such as Zoom and Microsoft Teams.
  • Basic project management and document management skills.

  • Timely preparation of reports, presentations, and correspondence.
  • Accuracy and completeness of meeting minutes and follow-up actions.
  • Timely execution of assigned executive tasks.

Remuneration: NGN150,000 – 250,000
