Job summary

We are looking for a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to senior leadership at The Mall Nigeria. The ideal candidate is a sharp communicator, a skilled multitasker, and someone who understands the importance of discretion and precision in a founder-led environment.

Job descriptions & requirements

Responsiblities:

  • Manage the executive's calendar, scheduling meetings, calls, and appointments with full attention to priorities and conflicts.
  • Prepare and review correspondence, briefs, presentations, and internal communications on behalf of leadership.
  • Coordinate travel logistics — itineraries, bookings, and documentation for local and international trips.
  • Attend meetings, take detailed minutes, and track action points to ensure timely follow-through.
  • Liaise with internal teams, external stakeholders, vendors, and partners on behalf of the executive.
  • Maintain confidential files and ensure organised records management.
  • Conduct research and prepare background materials ahead of key meetings or decisions.
  • Support project coordination and follow up with departments on outstanding deliverables.
  • Assist with personal and administrative errands as required.


Requirements:

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Minimum of 3 years' experience as an Executive Assistant or in a senior administrative support role.
  • Experience supporting C-suite or founder-level executives is strongly preferred.
  • Exceptional written and verbal communication skills — ability to draft professional correspondence independently.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
  • Demonstrated ability to manage multiple priorities under pressure without losing attention to detail.
  • Strong discretion and integrity in handling sensitive business information.
  • Familiarity with project management tools (e.g., Asana, Trello, Notion) is an added advantage.
