Job Description/Requirements
Responsibilities:
Administrative Support:
- Provide comprehensive support to the team, including scheduling meetings and logistic arrangements, organizing phone calls, and coordinating events.
- Handle general administrative duties such as drafting communications, managing mailings, preparing reports, and maintaining appropriate filing systems.
- Oversee office management tasks, including ordering supplies, resolving technology issues, and liaising with external vendors for services and repairs.
- Assist with program evaluation by collecting and summarising workshop feedback.
- Participate in projects, events, and other tasks as assigned.
Office Management:
- Manage office equipment and supplies, process invoices, deposits, and check requests, and organize and coordinate meetings.
- Handle general office tasks, including special projects, events, and staff training as needed.
- Filter and direct telephone calls, relay accurate messages and address inquiries where possible.
- Welcome and assist visitors to the organization professionally.
- Maintain and update contact databases and records, ensuring data protection compliance.
- Handle and process incoming, and outgoing emails and Newsletters. Draft, type, and dispatch office correspondence.
Programs and Events:
- Manage and respond to general inquiries related to specific programs, operations, or development.
- Provide support for events and meetings, including preparing, scheduling, procuring materials and providing onsite support.
- Proofread outreach materials for accuracy in spelling and grammar.
- Oversee database and survey data entry for event registration and wrap-up.
Bookkeeping:
- Ensure all financial transactions are accurately recorded and updated within 48 hours of occurrence to maintain the integrity of financial data.
- Conduct a monthly reconciliation of entries to verify that all financial records match bank statements and other financial reports.
- Accurately record all debits and credits in the appropriate accounts, maintaining a clear audit trail, ensuring compliance with financial regulations, and confirming the accuracy of transactions, identifying any discrepancies.
- Regularly compare actual financial performance against the projected budget, reporting any significant variances to management within two business days and suggesting corrective actions where necessary.
Data Protection and Confidentiality:
- Uphold strict confidentiality standards when handling all executive and personal information.
- Ensure compliance with data protection regulations and internal policies.
Requirements:
- 2+ years of experience in office administration, financial support, event planning, marketing, and social media in a non-profit organization.
- Excellent interpersonal and written communication skills.
- Ability to organize and manage multiple projects at a time.
- Energetic, flexible, resilient, and proactive.
- Advanced knowledge of Microsoft Office, Google Drive, and Basic Accounting.
- Ability to work both independently and collaboratively.
- Discretion, reliability, and a professional appearance and demeanour.
- A female is highly preferred with proximity to the island.
Location: Lagos
Remuneration: NGN 180,000
