The Administrative Manager (Oil & Gas) is responsible for overseeing and coordinating all administrative functions to support the smooth operations of the engineering company. This role ensures compliance with company policies, efficient use of resources, and effective support to technical and project teams, while maintaining a safe and organized work environment.

Job descriptions & requirements

Responsibilities:

  • Oversee day-to-day administrative operations, ensuring effective office management and smooth workflow.
  • Maintain office facilities, equipment, and supplies, liaising with vendors and service providers.
  • Develop and implement administrative policies, processes, and standards.
  • Support HR in recruitment logistics, onboarding, attendance management, and maintaining personnel records.
  • Ensure compliance with company policies.
  • Supervise procurement of office and project-related supplies in line with company procedures.
  • Oversee company travel arrangements and logistics for staff and project teams.
  • Track and monitor asset management, inventory, and consumables.
  • Provide administrative support to engineering and project teams, including documentation, permits, and correspondence.
  • Assist in coordinating client and regulatory agency meetings, inspections, and site visits.
  • Ensure statutory and regulatory compliance relating to administrative functions (e.g., health & safety, licenses, insurance).
  • Prepare periodic administrative and operational reports for management review.
  • Monitor budget utilization for administrative expenses and recommend cost-saving initiatives.


Requirements:

  • Degree
  • 5 years experience
  • Strong leadership and supervisory skills.
  • Strong knowledge of procurement processes and regulatory requirements.
  • Attention to detail and a process-driven approach.
  • High level of integrity, discretion, and accountability.
