Account Officer
Job summary
We are seeking a responsible, organised and detail-oriented Account Officer to join our Finance/Accounts team. The successful candidate will support the day-to-day financial operations of the company, including recording transactions, processing payments and receipts, reconciling accounts, maintaining financial records, etc.
Job descriptions & requirements
Responsibilities:
- Maintain accurate records of all financial transactions.
- Record sales, purchases, expenses, receipts, and payments.
- Prepare and maintain ledgers, journals, cashbooks, and supporting documents.
- Reconcile bank accounts and other financial records regularly.
- Record revenue from sales, subscriptions, printing services, and other publishing activities.
- Monitor sales invoices and customer payments.
- Follow up on outstanding customer balances.
- Reconcile sales reports with cash, bank, and transfer receipts.
- Maintain records of authors’ book sales.
- Calculate royalties based on individual author/publisher agreements.
- Prepare royalty statements and payment schedules.
- Reconcile royalty advances and outstanding obligations.
- Process invoices from printers, suppliers, distributors, freelancers, and service providers.
- Verify invoices against purchase orders and delivery documents.
- Prepare payment vouchers and ensure proper authorization before payment.
- Issue invoices to customers, distributors, schools, bookstores, and corporate clients.
- Maintain customer accounts and monitor outstanding debts.
- Prepare receivables ageing reports.
- Ensure proper documentation and authorization of financial transactions.
- Help prevent errors, fraud, duplicate payments, and unauthorized expenditure.
- Maintain proper filing andis an advantage audit trails for financial documents.
- Prepare schedules and supporting documents for internal and external auditors.
- Respond to audit queries and provide required accounting records.
- Assist in implementing recommendations arising from audits.
Requirements:
- HND in Accounting, Finance or a related discipline.
- Professional accounting qualification or relevant professional training is an advantage.
- Good knowledge of Microsoft Excel and accounting software.
- 2–3 years’ relevant experience in accounting, finance or a related role.
- Experience in a publishing, manufacturing, trading or other commercial organisation is an advantage.
