Operations Officer
Job summary
The Operations Officer ensures that all operational activities across AutoClinic’s garage, academy, and administrative units run efficiently. This role focuses on daily coordination of workflows, workshop efficiency, inventory control, logistics, process optimisation, and enforcing standard operating procedures (SOPs) that uphold quality.

Responsibilities:
Operational Coordination:
- Supervise daily garage operations to ensure jobs are completed accurately, on time, and to standard.
- Track job cards, technician productivity, and turnaround time.
- Monitor the inflow and outflow of vehicles, spare parts, and consumables.
- Enforce compliance with workshop safety standards and operational protocols.
- Support the business managers in ensuring smooth integration between the garage, academy, and corporate office operations.
Process & Workflow Management:
- Implement and update Standard Operating Procedures (SOPs) for workshop and administrative processes.
- Identify process bottlenecks and recommend improvements.
- Ensure accurate documentation of all workshop jobs.
- Support the digitization of job workflows and reporting systems.
Inventory & Asset Management:
- Maintain optimal stock levels of frequently used parts and consumables.
- Monitor tool usage, calibration, and maintenance schedules.
- Track and report inventory discrepancies and wastage.
- Support procurement planning and vendor coordination for parts and logistics.
Customer Service & Quality Assurance:
- Coordinate vehicle delivery timelines with the front desk and technical teams.
- Ensure that all completed jobs undergo quality checks before delivery.
- Follow up on customer complaints and coordinate corrective actions.
- Assist in maintaining high levels of customer satisfaction and retention.
Reporting & Performance Tracking:
- Generate daily, weekly, and monthly operations reports (job status, turnaround time, stock levels, revenue per bay, etc.).
- Track and document technician productivity and efficiency.
- Support the business manager with data for decision-making and performance reviews.
Requirements:
- Strong understanding of automotive workshop operations
- Excellent organisational and coordination skills
- Analytical thinking and the ability to interpret data
- Good knowledge of inventory management and procurement
- Strong interpersonal and communication skills
- Ability to multitask and handle operational pressure
- Proficiency in MS Office, ERP, or workshop management software
