The successful candidate will be an important part of our team, will serve as the first port of call for clients and guests. In addition, manage the office administration, including managing the office needs, managing staff, and hiring needs. There is room for growth in capacity.

Job Description/Requirements

Responsibilities:

Reception Duties:

  • Greet and welcome visitors with a professional and friendly demeanor.
  • Answer and direct phone calls in a polite and efficient manner.
  • Maintain a clean and organized reception area.
  • Handle incoming and outgoing mail and packages.


Administrative Support:

  • Provide administrative support to various practices/departments within the firm.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff.
  • Maintain and update firm databases.
  • Prepare and distribute internal and external communications.
  • Assist in the preparation of reports and presentations.


Office Management:

  • Order and maintain office supplies, ensuring availability for all staff members.
  • Assist in the coordination of office events and activities.
  • Monitor and maintain office equipment.
  • Manage other administrative staff to ensure smooth office operations.


Data Entry and Record Keeping:

Requirements:

  • Proven experience as a receptionist and administrative officer or similar role.
  • Proficient in office software (e.g., MS Office, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Professional appearance and behavior.
  • High school diploma; additional certification in Office Management is a plus.
