Job Summary

This is an administrative role. We are seeking a highly organized and proactive Executive Assistant to support our Interior Designer in managing administrative tasks and coordinating various aspects of projects. The ideal candidate will possess exceptional communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. This role will involve handling correspondence, scheduling appointments, managing calendars, liaising with clients and vendors, and assisting with project coordination. The Executive Assistant will play a crucial role in ensuring smooth operations and facilitating the successful execution of design projects

Job Description/Requirements

Responsibilities:

  • Manage the Interior Designer's schedule, including arranging appointments, meetings, and travel arrangements.
  • Handle correspondence, emails, and phone calls, ensuring timely responses and effective communication.
  • Assist in project coordination, including liaising with clients, contractors, and vendors.
  • Prepare and organize documents, presentations, and reports as needed.
  • Maintain digital and physical filing systems, ensuring documents are easily accessible.
  • Handle purchasing, procurement & delivery
  • Provide administrative support, such as expense tracking, invoice processing.
  • Handle confidential information with discretion and professionalism.
  • Anticipate the needs of the Interior Designer and proactively address any administrative challenges.
  • Collaborate with other team members to ensure efficient workflow and project delivery.


Requirements:

  • Bachelor's degree or equivalent experience in business administration, design, or a related field.
  • Proven experience as an executive assistant, administrative assistant, or similar role, preferably in the design or creative industry.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, with a keen attention to detail.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and scheduling/calendar management tools.
  • Ability to multitask and work efficiently in a fast-paced environment.
  • Professional demeanor and the ability to maintain confidentiality.
  • Knowledge of interior design principles and terminology is a plus.
  • Flexibility to adapt to changing priorities and willingness to take on new challenges.
  • Positive attitude and a proactive approach to problem-solving.
