Job summary

The Executive Assistant (EA) provides high-level administrative support to the MD, ensuring efficient operation of the MD’s office, smooth workflow, and effective communication between the MD, staff, clients, and external stakeholders. The EA acts as a gatekeeper, strategic support partner, and liaison, contributing to operational efficiency

Job descriptions & requirements

Responsibilities:

Executive Support:

  • Manage the MD’s calendar, appointments, and travel arrangements.
  • Prepare, review, and edit correspondence, reports, presentations, and other documents.
  • Screen calls, emails, and visitors, prioritizing urgent matters for the MD.
  • Ensure timely follow-up on tasks delegated by the MD.

Communication & Liaison:

  • Serve as the primary point of contact between the MD, staff, clients, and external stakeholders.
  • Draft and send professional communications on behalf of the MD.
  • Coordinate meetings, workshops, and corporate events.
  • Maintain confidentiality of sensitive information.

Operational & Administrative Support:

  • Assist in planning, organizing, and monitoring MD’s strategic initiatives.
  • Manage filing systems, both digital and physical, ensuring proper documentation.
  • Support the MD in tracking KPIs, deadlines, and ongoing projects.
  • Prepare briefings and reports for board meetings or management reviews.

Project & Task Management:

  • Track and follow up on key initiatives from MD directives.
  • Support cross-departmental coordination for the smooth execution of approved projects.
  • Conduct research, compile data, and provide insights to support decision-making.

Personal Assistance:

  • Manage the MD's personal commitments as agreed (e.g., travel, events, and correspondence).
  • Provide proactive support to anticipate needs and resolve issues before they escalate.


Requirements:

  • Degree
  • 3 years experience
  • High-level planning and organisational skills
  • Strategic thinking and problem-solving
  • Strong interpersonal and communication skills
  • Proactive detail-oriented, and results-driven
  • Ability to multitask and work under pressure
