Job summary
The Executive Assistant (EA) provides high-level administrative support to the MD, ensuring efficient operation of the MD’s office, smooth workflow, and effective communication between the MD, staff, clients, and external stakeholders. The EA acts as a gatekeeper, strategic support partner, and liaison, contributing to operational efficiency

Responsibilities:
Executive Support:
- Manage the MD’s calendar, appointments, and travel arrangements.
- Prepare, review, and edit correspondence, reports, presentations, and other documents.
- Screen calls, emails, and visitors, prioritizing urgent matters for the MD.
- Ensure timely follow-up on tasks delegated by the MD.
Communication & Liaison:
- Serve as the primary point of contact between the MD, staff, clients, and external stakeholders.
- Draft and send professional communications on behalf of the MD.
- Coordinate meetings, workshops, and corporate events.
- Maintain confidentiality of sensitive information.
Operational & Administrative Support:
- Assist in planning, organizing, and monitoring MD’s strategic initiatives.
- Manage filing systems, both digital and physical, ensuring proper documentation.
- Support the MD in tracking KPIs, deadlines, and ongoing projects.
- Prepare briefings and reports for board meetings or management reviews.
Project & Task Management:
- Track and follow up on key initiatives from MD directives.
- Support cross-departmental coordination for the smooth execution of approved projects.
- Conduct research, compile data, and provide insights to support decision-making.
Personal Assistance:
- Manage the MD's personal commitments as agreed (e.g., travel, events, and correspondence).
- Provide proactive support to anticipate needs and resolve issues before they escalate.
Requirements:
- Degree
- 3 years experience
- High-level planning and organisational skills
- Strategic thinking and problem-solving
- Strong interpersonal and communication skills
- Proactive detail-oriented, and results-driven
- Ability to multitask and work under pressure
