We are looking for a proactive AI Workflow & Automation Specialist to design and manage smart systems that improve how our business communicates, operates, and serves clients. This role involves creating AI-driven workflows that automate phone calls, messages, bookings, reminders, reviews, and internal processes to keep operations smooth.

Job Description/Requirements
Responsibilities
- Voice & Chat Automation: Build and maintain AI assistants that can handle incoming calls, WhatsApp, and chat enquiries when staff are unavailable.
- Booking & Follow-up Flows: Integrate AI with booking systems (e.g., Fresha or Shopify) to confirm appointments, send reminders, and follow up automatically after services.
- Customer Engagement: Program automated systems to send review requests, personalised messages, and promotional offers through SMS, email, or WhatsApp.
- Lead & Data Management: Connect customer enquiries from different platforms (website, Instagram, Google, etc.) into one organised dashboard or CRM.
- Internal Process Automation: Set up smart workflows that notify staff, update spreadsheets, trigger invoices, or create reminders automatically.
- Analytics & Optimisation: Track and report how automations perform, such as missed calls handled, client response rates, and repeat bookings, and improve over time.
- Tool Integration: Recommend and set up suitable AI tools, APIs, or automation platforms (e.g., Twilio, OpenAI, Zapier, Make, Dialogflow, or Voiceflow).
- Quality & Brand Consistency: Train the AI to use a brand-appropriate tone and ensure responses sound natural, professional, and aligned with company standards.
- Team Collaboration: Work closely with management and front-desk staff to ensure the AI supports daily operations rather than replacing human connection.
Requirements
- Proven experience setting up AI chatbots, voice systems, or automation workflows (e.g., ChatGPT, Twilio, Dialogflow, Zapier, or Make).
- Understanding of phone systems, IVR setup, WhatsApp/CRM integrations, and workflow design.
- Strong communication and problem-solving skills.
- Ability to customise and train AI for realistic, friendly, and accurate responses.
- Tech-savvy and detail-oriented, with the ability to troubleshoot and optimize automations.
- Experience in customer service, salon, or retail operations is a plus.
- Bonus: Basic familiarity with Google Sheets automation, email marketing tools, or CRM systems.
