Job Summary

We are seeking a detail-oriented and organized Administrative Officer to join our team. The Administrative Officer will play a crucial role in supporting day-to-day operations and ensuring the smooth functioning of our office. This position offers an exciting opportunity to work closely with our design team and contribute to the success of our projects.

Job Description/Requirements

Responsibilities:

Office Management:

  • Oversee the general operations of the office, including maintaining supplies, equipment, and facilities.

Administrative Support:

  • Provide administrative support to the design team, including scheduling appointments, managing calendars, and coordinating meetings.
  • Assist with social media management, including posting updates, responding to comments/ messages, and monitoring engagement on Instagram.

Client Communication:

  • Serve as a point of contact for client inquiries and communication, providing excellent customer service and ensuring timely responses.

Document Management:

  • Organize and maintain electronic and physical files, ensuring accuracy and confidentiality.

Project Coordination: Assist with project coordination tasks, such as preparing project proposals, contracts, and invoices.

  • Financial Administration: Support financial administration tasks, including processing payments, tracking expenses, and preparing reports.
  • Vendor Management: Liaise with vendors and suppliers to obtain quotes, place orders, and coordinate deliveries.
  • Event Coordination: Assist with the planning and execution of company events, such as client meetings, presentations, and industry conferences.
  • Ad Hoc Tasks: Undertake ad hoc administrative tasks and projects as assigned by management.


Requirements:

  • Proven experience in an administrative role.; 1 Year minimum
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in data entry and document management.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, outlook) and experience with project management software is a plus.
  • Ability to work effectively both independently and as part of a team in a fast-paced environment.
  • Flexibility and adaptability to handle changing priorities and responsibilities.
  • Commitment to maintaining confidentiality and professionalism in handling sensitive information.
