Administrative Officer
Job summary
We need a highly organized, proactive, and detail-oriented Administrative Officer for the smooth and efficient day-to-day operations of our company. You will be responsible for coordinating administrative activities, maintaining accurate records, managing documentation, supporting internal communication, and ensuring that office processes run well.

Responsibilities:
- Manage the company's day-to-day administrative activities and ensure smooth office operations.
- Maintain accurate and up-to-date employee, client, property, and company records.
- Prepare, organize, file, and retrieve official documents, reports, contracts, and correspondence.
- Handle incoming and outgoing correspondence, emails, calls, and other administrative communications.
- Coordinate meetings, appointments, schedules, and internal administrative activities.
- Prepare meeting agendas, minutes, reports, memos, and other official documents when required.
- Monitor office supplies, equipment, and other administrative resources and ensure timely replenishment.
- Liaise with vendors, service providers, clients, and other external stakeholders as required.
- Support the HR function with employee documentation, attendance records, leave records, onboarding, and other administrative processes.
- Assist the sales and marketing team with administrative tasks related to property listings, client documentation, inspections, and transactions.
- Maintain organized digital and physical filing systems and ensure confidential information is properly handled.
- Track administrative expenses and assist with documentation and reconciliation of approved expenditures.
- Support management with research, data collection, reports, presentations, and other administrative assignments.
- Ensure compliance with company policies, procedures, and administrative standards.
- Identify administrative gaps and recommend practical ways to improve efficiency and productivity.
- Assist in coordinating company events, trainings, meetings, and other organizational activities.
- Perform other administrative duties as assigned by management.
Requirements:
- Bachelor's degree or HND in Business Administration, Management, Office Administration, or a related field.
- 1–3 years of relevant administrative experience.
- Previous experience in a real estate company or related industry is an advantage.
- Proficiency in Microsoft Office and/or Google Workspace.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Good attention to detail and record-keeping skills.
- Ability to multitask, prioritize responsibilities, and meet deadlines.
- Ability to maintain confidentiality and handle sensitive company information professionally.
- Strong interpersonal and problem-solving skills.
- Ability to work independently and as part of a team.
