Job Description/Requirements

JOB DESCRIPTION:

  • Manage the company’s fleet maintenance program with an emphasis on planning/scheduling and preventive/predictive maintenance.
  • Assist in the recruitment of technical staff.
  • Oversee the process of vehicle particulars renewal.
  • Oversee the purchase of vehicle spare parts.
  • Oversee the process of handling insurance claims ensuring the VFR, police report, pictures of the damaged vehicle, repair estimate and the driver report are made available.
  • Prepare management reports, analyze data and make recommendations for improving vehicle maintenance and solving maintenance related problems. 
  • Establish and maintain a computerized maintenance management system for tracking work done, spare parts and maintenance history of the company’s fleet.
  • Prepare monthly maintenance/fueling budget.
  • Cost control on fuel for optimum usage
  • Monitor the use and inventories of spare parts, maintenance supplies on vehicles and initiates reordering when necessary.
  • Keep detailed information on all vehicles including; updating vehicle status, enter registration information, update insurance information, delete termed vehicles and add acquired vehicles, as required.
  • Troubleshoot daily questions and concerns from the field, relating to vehicles
  • Administer insurance, vehicle registration, and driver identification programs in conjunction with fleet maintenance officer.
  • Audit and payment of all fleet invoices in conjunction with the accounts officer.
  • Prepare reports by collecting and analyzing information.
  • Maintain customer confidence and protects operations by keeping information confidential.
  • Contribute to team effort by accomplishing related results as needed.
  • Prepare spare part request and issue notes; diesel request for fuel card top-up; payment requests for repairs and inspection of work in progress.
  • Supervise the process of vehicle particulars renewal.
  • Assist with the purchase of vehicle spare parts.
  • Supervise the process of handling insurance claims ensuring the VFR, police report, pictures of the damaged vehicle, repair estimate, and the driver report are made available
  • Ensure that all fleet and support personnel adhere to safe working practices.
  • Carry out other job-specific duties in the department as assigned.             


KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong background and work experience in Fleet Management and Maintenance.
  • Excellent computer skills and proficiency in MS Office Suite.
  • Excellent communication skills both verbal and written
  • Demonstrated leadership and vision in managing staff groups and major projects or initiatives
  • Excellent interpersonal skills and a collaborative management style.
  • Budget development and oversight experience
  • A demonstrated commitment to high professional ethical standards and a diverse workplace
  • Excels at operating in a fast-paced work environment
  • Excellent people manager, open to direction and collaborative work style, and commitment to get the job done
