The supervisor is the executive head of the service station and he is responsible to the executive management of the company for the overall efficient running and optimum performance of the service station; resulting in measurable profitable performance:

Job Description/Requirements

This performance is expected to show in

1]  Efficient handling of all products supplied to his station

2]  Efficient marketing and expansion of the station’s customer base

3]  Efficient handling of sales proceeds

4]  Efficient handling of security and banking process

5]  Efficient handling, safety and maintenance of company assets deployed to his station

6]  Efficient and firm handling of all staff matters, resulting industrial harmony and productivity.

7]  Increasing profitability of his station.

To achieve the above objectives you must have the following personal qualities

1]  You must be a person with high integrity

2]  You must be organized

3]  You must have a very high sense of responsibility

4]  You must be ready to lead by personal example

5]  You must have strong determination and personal drive to achieve set objectives.

You therefore must carry out his duties as follows:


1]  Ensure adequate intermediate and operative staff are recruited for the station to ensure enough hands are available to service customers.

3]  Ensure that staff are maximally engaged by preparing duty rosters for attendants, shift captains and supervisors

4]  Ensure every staff have schedule of duties

5]  Ensure discipline among staff in areas of personal conduct, work ethics, equipments handling, cleanliness and use to time. Work attendance register must be maintained.

6]  Ensure every staff reports promptly at their duty post; and lateness or absenteeism is reported and punished. 

7]  Ensure  adequate records are maintained to measure staff performance. Quarterly staff performance appraisal must be prepared, reviewed and acted upon.  Performance rewarded while non-performance is disciplined. 

8]  Ensure every staff has facilities necessary for the performance of his duties



1]  Ensure adequate records are maintained in the prescribed manner for all products supplied to his station and all items of marts and lubricants.

2]  Ensure meticulous supervision of the supply / delivery process to ensure the company receives the total quantity of the product paid for.

3]  Accounts for all products supplied to his station at all times

4]  Reports the  daily position of all products at the station to the executive management every morning

5]  It shall be the duty of the supervisor to ensure that the company receives 100% efficiency accruable in line with the pump settings.

6]  Ensure all products are handled properly by all staff to avoid losses due to mishandling.

Marketing & Sales:

1] Carryout out market survey of reigning prices of all petroleum products within the station catchment area on daily basis to ensure competitive edge over  competitors

2]  Find out the secrets of other competitors who are doing better the station.  Report such to the executive management for possible application to enhance sales

3]  Ensure resumption and closing time are good enough to give the station adequate sales

4]  Ensure supervisor opens the station and sales attendants are at their duty  post promptly  for business every day

5]  Ensure cleanliness of the station environment, pump island and pump before commencement of business

6]  Ensure all attendants are neatly dressed  and look good enough to represent the company at the point of sale

7]  Ensure attendant take record of meter before and after the day’s sales

8]  Ensure attendants maintain discipline while on tarmac and attends to customers promptly and courteously.

Cash and Banking

1]  Ensure attendant regularly drop cash proceeds of sales in the cash office and do not hold cash in excess of approved limits.

2]  Ensure cashiers at the cash office do not hold cash in excess of N100,000.00.  Cash received from sales attendant must be promptly sorted and count and batch in 100. Once the total cash is up N100,000.00 its promptly transferred to the treasury strong room following the required procedures.

3]  The transferred of cash to strong room must be endorsed by the supervisor, who initials the transfer form/document/register.

4]   Ensure the security of the cash office by regular review of access mode into the cash office.  It must be treated as a restricted area.  Access to non-related staff and visitor must be by approved permission.

5]  Ensure only related staff have the knowledge of cash movement within the company

6]  Evacuation of cash to bank must be by authorized persons.  Mode and timing of cash evacuation should be properly programmed to ensure maximum secrecy and safety.

Opening and Closing Issues:

1]  Ensure meter reading of all pump is done and recorded before commencement of business and at close of business on daily basis.  SMS copy of such report must be forwarded to the MD

2] Ensure all the storage tanks are dipped to determine the level of product in them every morning before the commencement of sales and every night just before short down.

3] Ensure records of such measurement are meticulously maintained.

4] Compare the records of dipping of both night and morning.  Any discrepancies noticed should be reported immediately to the management for investigation.

5]  Confirm from the cashier that all sales attendants properly account for all product sold and there are no shortages.

6]  Review the computation of sales as undertaken by cashier / supervisor to ensure it is correct and the total cash accounted before the close of business or short-down.

7] Endorse the sales book to confirm satisfactory review and forward summary of the day’s activity in a SMS format to the MD and other related senior management before closing:

The SMS should show the following:

1] volume sold per each category of product

2] closing stock (dipping) per each of category of product

3] cash position as verified and transferred to strong room at closing

4] total daily cash expenses

Equipment and Other tools of trade

1]  Ensure all staff are properly instructed to make proper and appropriate use of all company’s equipment and tools in their care.

2]  Make staff accountable for things in their care by reiterating to everyone that careless damage will be paid for by such staff

3]  Ensure no unauthorized use or movement of company’s properties.


Report to be generated by the supervisor

1]  Daily Sales report

2]  Daily activity summary report

3]  Daily Stock position and efficiency report

4]  Monthly stock shortages report

5]  Monthly staff report 

6]  Monthly facility & equipment report
