Job Summary

We are seeking a highly organized and discreet Personal Assistant to provide comprehensive executive support to their Group Managing Director. The ideal candidate will be exceptionally professional, proactive, and skilled in managing complex schedules while handling confidential matters with utmost discretion.

Job Description/Requirements

Responsibilities:

  • Manage GMD's calendar, including scheduling meetings, appointments, and travel arrangements
  • Screen and prioritize incoming calls, emails, and correspondence
  • Coordinate and prepare for board meetings, executive committees, and high-level presentations
  • Draft and edit correspondence, presentations, and reports
  • Handle confidential documents and information with absolute discretion
  • Maintain filing systems for important documents and correspondence
  • Act as the primary point of contact between GMD and internal/external stakeholders
  • Coordinate with other executive assistants within the group
  • Plan and coordinate complex travel arrangements (local and international)
  • Organize meetings, conferences, and events
  • Manage multiple calendars and resolve scheduling conflicts
  • Ensure GMD is properly prepared for all meetings with necessary documents
  • Send reminders and follow-up messages for important meetings and deadlines
  • Coordinate with drivers and security personnel for GMD's movements
  • Plan and manage logistics for business trips
  • Process expense reports and manage reimbursements
  • Handle visa applications and travel documentation
  • Maintain office supplies and equipment for GMD's office
  • Coordinate with IT department for technical support
  • Manage subscriptions and memberships
  • Organize and maintain physical and digital filing systems
  • Process invoices and handle petty cash
  • Coordinate office maintenance and facilities management
  • Act as liaison between GMD and other executives, board members, and stakeholders
  • Manage communication flow and ensure timely responses
  • Coordinate with various departments on GMD's behalf
  • Handle sensitive information and maintain confidentiality
  • Screen and direct queries to appropriate channels
  • Maintain relationships with key external contacts
  • Coordinate with protocol officers for official functions
  • Organize corporate events and executive meetings
  • Coordinate logistics for board meetings and annual general meetings
  • Plan and execute high-level business functions
  • Manage guest lists and RSVPs
  • Coordinate with vendors and service providers
  • Handle post-event documentation and follow-up


Requirements:

  • Bachelor's degree in Business Administration, Secretarial Studies, or related field
  • Minimum 3 years experience as an executive assistant at senior management level
  • Strong proficiency in Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Experience in managing complex calendars and travel arrangements
  • Knowledge of business protocol and etiquette
