The essence of this role is to IMPLEMENT laid down HR and Administrative policies of the company AND develop a motorcycle based logistic force to distribute the company’s magazines and other products

Job Description

Summary of functions with weights

1.Recruitment support 20%

2. HR Operations 10%

3. Admin Oversight 10%

4. Appraisal 10%

5. Oversight of logistics force -50%


The Ideal Candidate

 Proven experience of supervising a team of low skilled workers (dispatch riders) Would have worked in a courier company like FEDEX, DHL or motor cycle hailing company like Gokada. There is a high turnover of such staff and it is expected that the ideal candidate will be able to source and hire new dispatch riders quickly.

 Excellent interpersonal skills/maturity with ability to relate to staff and customers

 HR & Administration competencies developed in a structured organisation Expected that the requisite experience would have been obtained over a minimum of 5 years


Job Specifications

1. Recruitment

  • Generally will provide administrative support but key decisions will be taken by CEO
  • Research on job descriptions and placement of job adverts
  • Reviewing resumes and applications
  • Arranges recruitment interviews and providing the necessary inputs during the hiring
  • Prepares letters of offer of employment
  • Complies with procedure that integrates new employees with the work force - pension, HMO etc
  • Induction of new hires. Conducting employee orientation and facilitating newcomers joining formalities


2. HR operations

  • Maintaining HR records, such as those related to compensation, health and medical insurance
  • Communicating and clarifying the organizations HR policies to the employees (he/she will be the person managers and employees go to first for clarification on Management’s policies affecting their employment)
  • Follow up of confirmation records
  • Preparation of salary statement
  • Conducting various welfare activities approved by Management – loans, subsidized lunch etc
  • Preparing and submitting all relevant HR letters/documents/certificates as required- Leave etc
  • Recording, maintaining and monitoring attendance to ensure employee punctuality
  • Maintaining and regularly updating master database (personal file, personal database, etc.) of each employee
  • Escalating grievances to the right level depending on the nature of the
  • grievance or issue

3. Appraisal

  • Implementing and administering performance management processes as per the PMS policy and timelines
  • Implementing the termination of employment process -Conducting exit
  • interviews for employees and recording them accordingly etc
  • Reviewing job descriptions for all positions at regular intervals and updating them in consultation with the respective managers/ CEO


4. Admin oversight

  • Overseeing the activities of the Admin Officer who will be responsible for the
  • Production of the magazine
  • Power generation
  • Office cleaning
  • Office and stationary supplies
  • Maintenance and repair of office assets – furniture, cars, computers, printers etc


5. Direct Supervision of dispatch riders – the company has 5 dispatch riders in its employment and it intends to grow this to 10 men in the next 12 months.

 Be the first line manager for the riders

 Acts as clearing house for all departments who require the services of the riders (these departments simply pass on their documents within a system that determines the urgency of the delivery)

 To review courier route data to ensure  that collections and deliveries are completed according to specification requirements

 To audit motorcycles to certify that they are maintained  in a roadworthy condition

 First line management for performance development reviews and return to work interviews

 Investigation of accidents, near misses and complaints

 To go out on the route to assess performance and best practice

 Provide statistics on training route compliance and profitability of routes
