Job Summary

We are seeking a highly organized and proactive Executive Assistant (EA) to support the CEO in managing a commercial real estate business. The ideal candidate will be responsible for diary management, organization, sales and marketing support, and ensuring the CEO’s day-to-day operations run seamlessly.

Job Description/Requirements

Responsibilities:

  • Manage the CEO’s schedule, appointments, and travel arrangements, ensuring optimal time management.
  • Coordinate and prioritize meetings, ensuring the CEO is well-prepared with necessary materials.
  • Handle email correspondence, phone calls, and follow-ups on behalf of the CEO.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Draft reports, presentations, and business documents as required.
  • Oversee and support the CEO’s business operations across both companies.
  • Manage key projects and ensure timely execution of action points.
  • Liaise with internal teams and external stakeholders on behalf of the CEO.
  • Track sales performance and prepare reports for the CEO.
  • Identify potential business leads and assist in client relationship management.
  • Organize corporate events and client meetings.
  • Coordinate logistics for company-related travel, conferences, and off-site meetings.
  • Maintain an organized filing system and ensure proper record-keeping.
  • Supervise office administrative tasks to ensure smooth daily operations.


Requirements:

  • Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
  • 3+ years of experience as an Executive Assistant, Sales & Marketing Associate, or similar role.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Task Management tools preferably Asana, Microsoft Office Suite, and CRM tools.
  • Business acumen and ability to handle strategic tasks beyond administrative duties.
  • High level of professionalism, discretion, and confidentiality.
  • Proactiveness and problem-solving skills.
  • Experience in real estate, hospitality, or service-based industries is an advantage.
  • Strong problem-solving skills and ability to anticipate needs.
  • Ability to multitask and manage complex responsibilities efficiently.
