We are seeking a highly organized and proactive Executive Assistant (EA) to support the CEO in managing a commercial real estate business. The ideal candidate will be responsible for diary management, organization, sales and marketing support, and ensuring the CEO’s day-to-day operations run seamlessly.

Job Description/Requirements
Responsibilities:
- Manage the CEO’s schedule, appointments, and travel arrangements, ensuring optimal time management.
- Coordinate and prioritize meetings, ensuring the CEO is well-prepared with necessary materials.
- Handle email correspondence, phone calls, and follow-ups on behalf of the CEO.
- Maintain confidentiality and handle sensitive information with discretion.
- Draft reports, presentations, and business documents as required.
- Oversee and support the CEO’s business operations across both companies.
- Manage key projects and ensure timely execution of action points.
- Liaise with internal teams and external stakeholders on behalf of the CEO.
- Track sales performance and prepare reports for the CEO.
- Identify potential business leads and assist in client relationship management.
- Organize corporate events and client meetings.
- Coordinate logistics for company-related travel, conferences, and off-site meetings.
- Maintain an organized filing system and ensure proper record-keeping.
- Supervise office administrative tasks to ensure smooth daily operations.
Requirements:
- Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
- 3+ years of experience as an Executive Assistant, Sales & Marketing Associate, or similar role.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Proficiency in Task Management tools preferably Asana, Microsoft Office Suite, and CRM tools.
- Business acumen and ability to handle strategic tasks beyond administrative duties.
- High level of professionalism, discretion, and confidentiality.
- Proactiveness and problem-solving skills.
- Experience in real estate, hospitality, or service-based industries is an advantage.
- Strong problem-solving skills and ability to anticipate needs.
- Ability to multitask and manage complex responsibilities efficiently.
