Job Summary

In this role, you are to perform a variety of administrative tasks and provide daily support to the CEO/Founder. You will be the first point of contact for those seeking to reach the CEO/Founder, this includes colleagues, clients, and other external partners.

Job Description/Requirements

  • Provide high-quality administrative and clerical assistance to the CEO/Founder
  • Manage the CEO/Founder’s schedule, book appointments, make arrangements for meetings, and develop action plans to ensure the CEO/Founder receives pertinent information
  • Work closely with CEO/Founder to keep them well informed of upcoming commitments and responsibilities
  • Make travel and accommodation arrangements for the CEO/Founder’s including but not limited to flights and ground transportation
  • Compile, proofread and revise drafts of documents and reports
  • Organise media appearances and events
  • Travel with CEO/Founder’s when necessary
  • Answer phone calls in a polite and professional manner
  • Draft and format information for internal and external communication – including but not limited to emails, presentations, and reports
  • Take minutes during meetings, organise and archive for CEO/Founder’s future use
  • Screen and direct phone calls and distribute correspondence
  • Organising meetings and events (including scheduling, sending reminders, and organising f&b when necessary)
  • Welcoming and screening CEO/Founder’s visitors
  • Conducting research for special assignments and projects based on CEO/Founder’s needs
  • Ensure the efficiency of operations
  • Manage information flow in a timely and accurate manner
  • Book vendors for events, store activities, or repairs when required
  • Process vendor invoices and payments
  • Organise and maintain office records
  • Note daily expenses and prepare monthly and quarterly reports for the CEO
  • Replenish office materials such as printer supplies, paper, office supplies, drinks, etc.
  • Run errands for CEO/Founder upon request
  • Manage petty cash reimbursements and reconciliation
  • Perform all other tasks as assigned
